Mastering Columns and Breaks in Microsoft Word Lunch and Learn:

Definitions Section: An area of a Word document where you define any/all of the following: Orientation (Portrait vs. Landscape) Page Size Margins Headers Footers Columns Break: The forced beginning of a new section

Definitions Page Break: New page, same section Column Break: Text moves to next column, same section Next Page Section Break: New page, new section Continuous Section Break: Same page, new section Even/Odd Section Break: New page, new section, next even/off page

Reformatting Text for Columns Input your text on the page. Select the text you would like to use in multiple columns. Access the Columns button on your toolbar. Drag your mouse over the number of columns you would like to use. Release the mouse.

Forcing a Column Break Scenario: You would like to move the rest of the text beyond your cursor to the next column, either for pagination or for balance. Ensure your cursor is next to the first word you would like to bump to the next column. Access the Insert menu and select Break. Select Column Break and click the OK button.

Columns: A Few Notes You are not required to have the text on your page before using columns, but be prepared that using multiple numbers of columns I your document can be messy. The Undo feature is handy.

Forcing a New Page Scenario: Despite only having six lines of text, you are ready to start a new page. Ensure your cursor is at the end of your sixth line of text. Access the Insert menu and select Break. Choose Page Break and click the OK button. Note: Alternatively, press Ctrl-Enter.

Adding a Page Break Scenario: You would like a new header as of page 4. Place your cursor at the end of page 3. Access the Insert menu and select Break. Choose Next Page and click the OK button. Move your cursor to Page 4. Access the View menu and select Header and Footer.

Changing Your Header Turn off the Same as Previous feature on the Header and Footer toolbar. Check to ensure the feature is turned off.

Changing Your Header Change the header text as needed. Find and press the Close button on the Header and Footer toolbar.
