APO IMPACT Live Presenter Orientation

Objectives Review the structure of APO IMPACT webinars and the roles of all involved Introduce the GoToWebinar software and learn how it functions Discuss live vs. virtual audiences Provide tips for good webinars Practice running a PowerPoint

Webinar Roles Organizers Full control over all webinar functions Allowed to speak Participants No control over webinar functions Typically not allowed to speak Panelists Limited control over webinar functions Allowed to speak GoToWebinar Terminology

Webinar Roles Producer Oversees the webinar and works “behind the scenes” Presenter Presents the main topic of the webinar, answers questions from participants Moderator Does introduction and conclusion, runs polls, facilitates Q/A, assists presenter as needed APO IMPACT Live Terminology

Producer Full control over the webinar functions Records the webinar Resolves any technical issues Controls who has presentation focus Filters questions from the participants (either respond or hold for presenter)

Moderator Introduces the webinar and presenter Manages polls and provides analysis Asks questions from the participants Concludes webinar, announcements Ready to take over in case of dead air Acts as a “sidekick” to the presenter

Presenter Develops the main presentation for the topic and writes the script Writes and submits the poll questions (and answers) to the Producer Answers questions from participants Creates the follow-up handout

Follow-up Presenter creates a written summary of the topic(s) discussed in the webinar 2 pages typical, 4 pages maximum Submit summary to Producer Producer will distribute to attendees

Live vs. Virtual Audience Live Instant feedback – hands, faces, etc. Talking directly to a group of people Skill set is that of a lecturer or speaker Virtual Little to no instant feedback Talking directly to a computer screen Skill set is that of a radio or TV host

Live vs. Virtual Audience Think about how a news anchor does his job Script is in front of you Read through the script and pretend you are speaking to someone Visualize how you sound to the participants

Good Webinars Format Use the PowerPoint template and its pre-built slide designs Be consistent with f o n ts, s i z e s, colors Be careful Don’t try to put every little detail about the topic onto one slide so that it is so packed full of text that the participants have to spend their time reading your slide instead of hearing your presentation. to align things properly

Good Webinars Graphics/Pictures Stay inside the lines Limit number of pictures (1-2 per slide) Use compressed formats (GIF, JPG) Limit the use of animation effects Think small, compact, and simple

Good Webinars Timing Plan for minutes of material 3-5 poll questions (~1 minute each) Plan for 5-10 minutes for questions, depending on the topic Keep track of your own time

Good Webinars Preparing your Environment Mute your house and/or cell phone Eliminate any other sources of noise Sit in a comfortable chair Have a glass of water nearby

Good Webinars Preparing your Computer Disable instant messaging programs, or anything that might pop up a window Turn off streaming media applications that would use up system resources Set your resolution to 1024 x 768

Good Webinars Preparing your Computer Check that your headset/mic are functioning properly Clean up your desktop or use “Clean Screen” when showing your desktop Have the files you wish to share open and ready to go in 1 or 2 clicks

Good Webinars Running the Webinar On the “Set Up Show” dialog, set the Show Type to run in a window Resolution should be 1024 x 768 Use arrow keys or PageUp/PageDown to advance slides (cursor is visible) Relax and have fun!
