12 Presentations 12.1 Begin a Presentation pg. 395-399 Getting Started A PowerPoint presentation contains: Slides Graphics You should always create a PowerPoint presentation with a specific audience in mind. Organizing Ideas When preparing a PowerPoint presentation, you should: Outline the presentation on paper Organize and condense the information Find the main point you want to get across in each slide and stay focused on it slide An image created in PowerPoint that is displayed on a screen as part of a presentation and can contain text, graphics, sound, video, and animation. The toolbars in PowerPoint are the same ones you have been using in other Microsoft Office programs.

12.2 Add Graphics to Presentations pg. 401-406 Graphics Make a Presentation More Interesting Make sure you are using graphics effectively by: Using graphics that are related to the presentation topic Using graphics that convey a presentation idea visually Balancing graphics and text on the slide Coordinating graphic and slide colors Not letting distracting graphics crowd the slide or get in the way of the text Making graphics large enough to be clear to the audience

12.4 Add Charts to Presentations pg. 412-415 Displaying Charts You can add charts to PowerPoint using: Excel PowerPoint’s Microsoft Graph application If you use symbols to represent the types of data in your chart, include a legend. legend A table that lists and explains the symbols used in a chart.

12.4 Add Charts to Presentations pg. 412-415 Keep Your Audience’s Attention When creating a PowerPoint presentation, you should: Keep the text short and to the point Use vocabulary words your audience will understand Define words when necessary Insert pictures taken with a digital camera instead of clip art when possible Clearly label charts and graphs Saving a Presentation As a New File If you make a big change to a presentation, save the modified presentation as a new file in case you change your mind. A report that has been created in Word can be shortened and designed as a PowerPoint presentation. When creating a chart in PowerPoint, the Chart menu will appear on the menu bar. This is the same menu used in Excel to edit a chart.

Handouts With a handout, you can: Print up to nine slides on each page Include a header Allow your audience to focus on your presentation without being distracted by the need to take notes hard copy A paper printout of what is shown on a computer screen. Documents with a white background use much less ink when printed than documents with colored backgrounds.

12.5 Investigate Print Options for Presentations pg. 417-419 Notes Pages The notes pages printing option allows you to: Enter additional information in the notes section Include reminders of additional topics to cover Use the printout to rehearse your presentation Outline View Use the Outline View if you want to save space and only print the text on the slides. You should always use Preview to make sure everything looks correct before you print.
