IAC Presentation August 13, 2008 R. Scott

Agenda  Acknowledgements  Drivers for Action  Initial Usage Review  Charge to Committee  Evaluation Process  Recommendation August 13, 20082IAC Presentation

Many Thanks  CASA; Mike Brake  Human Resources; Chris Domanik, Carolee Davis  Information Systems; Ken Johnston  Libraries/Colleges; Don Albrecht  Registrar’s Office; Chris Seng, Jerry Becker  Research Services; Diane Rees, Jon Peterson  ACNS; Randy Miotke, David Urano, Rusty Scott August 13, 20083IAC Presentation

Drivers for Action  Luminis platform upgrade overdue Not trivial – complex architecture Required (both hardware and software) Scalability concerns Expensive  Evidence suggests limited use of portal  Result: Take a closer look August 13, 20084IAC Presentation

Initial Rampoint Usage Review  Tabs 75% of total hits are on RAMWeb & ARIESweb  Course tools Near absolute zero for Fall ’07, Spring ‘08  Groups 40 new groups created last academic year File storage for internal departmental use, search committees, a few photo albums  Tab owner input Except for Research Services and ARIESweb, all have built alternate access points (outside the portal) August 13, 20085IAC Presentation

Initial Rampoint Usage Review (con’t)  Rampoint Dependencies Research Services (SSO functionality) ARIES & ARIESweb access RamCT depends on data transport mechanism for real-time enrollment updates August 13, 20086IAC Presentation

Committee Charge for Recommendation  Evaluate: Current platform (Luminis III) Luminis IV Open source Uportal Local custom built solution  Considering: Integration with existing systems Flexibility in adding new services and integrations User interface, User support Staffing support Hardware and software costs  Make recommendation based on: Experience & common sense Not in-depth product analysis August 13, 20087IAC Presentation

Evaluation Process  Features matrix  Portal product vs. Portal concept  Tab administrator input  Charge calls for a value judgment rather than exhaustive analysis August 13, 20088IAC Presentation

Evaluation Matrix  See attachment August 13, 20089IAC Presentation

Portal Product vs. Concept ProductConceptRampoint Usage Central point of access to systems XXSome Institutional information hub XXSome Tailored display (for students, fac/staff) XXX Minimize logins/SSO XXSome Contains portlets/channels XXX Collaboration tools (chat, discussion) XLittle User-initiated customizations XNear zero August 13, IAC Presentation

More Observations  Our use of the Luminis product features is very limited Users don’t customize Chat/Discussion tools virtually unused SSO – desired, but non-trivial to implement and therefore, not broadly used  Campus priority is in developing extensive services ‘around’ the portal RAMWeb, RamCT, (Google Apps), iTunesU ARIESweb, KRA Document management/workflow, KFS, SciQuest, Discoverer, Banner, ODS, HR August 13, IAC Presentation

Tab Administrator Input  Continued communication looking for show-stopping dependencies or concerns  None found to date August 13, 2008IAC Presentation12

Recommendation  The limited use of portal ‘product’ features does not justify the ongoing costs (hardware, software), therefore the committee recommends that the campus transition away from the existing Luminis platform to in-house custom web services that will provide: Intuitive user interface Secure SSO infrastructure Role-based presentation Less complexity for integrators and administrators ○ Flexibility, agility Access to shared documents August 13, IAC Presentation

Implementation Considerations  New/enhanced access points for key groups  SSO Technologies WebISO (CoSign, Yale CAS, etc.)  Message Broker options Continue use of LDIS from Sungard Open Source JMS JDIS  Shared documents Students, individual and organizations (Google Apps) Faculty & Staff – Existing gap August 13, IAC Presentation

Timeline  August 13, 2008 – IAC Presentation and support  September, 2008 – UTFAB Approval  September, 2008 – ITEC Approval  September, 2008 – Luminis Decommission Project Team formed  Spring 2009 – Begin replacement of RamPoint/Luminis services  June 30, 2009 – End of RamPoint system and Luminis maintenance agreement August 13, IAC Presentation

Questions  Are most welcome August 13, IAC Presentation
