Logical Functions CGS Spring A logical function is a function that works with values in cells and asks a question. The result of the question is either true or false and based upon the answer one of two operations is completed.

The IF() Function CGS Spring The =if() function has the following format: =IF (logical_test, value_if_true, [value_if_false]) The =IF() statement is placed in a cell. If the logical_test is found to be true then the value_if_true formula is evaluated else the value_if_false formula is evaluated. Note that the value_if_false is optional and if the logical_test if found to be false, the lack of a value_if_false formula will result in nothing happening to that cell.

Logical Test Operators CGS Spring The logical_test operator always includes some type of comparison operator. They are as follows: “=“ Equals example: A1=B1 “>” Greater than, example A1 > B1 “<“ Less than, example A1<B1 “>=“ Greater than or Equal to, example A1 >=B1 “<=“ Less than or Equal to, example A1<=B1 “<>” Not equal to, Example A1<>B1

The Wizard Box CGS Spring You can use a help dialogue box to assist you in placing the logical =IF() statement in a cell. Go to the Formulas tab and select the logical Drop down box and pick the IF statement. The wizard box like the one Above shows up.

More Examples CGS Spring If cell A1 is equal to B1 then place the number 100 in the cell, otherwise place the number 50. =IF(A1=B1,100,50) If cell A1 is equal to B1 then place the value that is in cell C1 in the current cell otherwise place the value of cell C2 in the current cell. =IF(A1=B1,C1,C2)

Multiple Embedded IF()’s CGS Spring In this example we are essentially asking two questions. If the score is Above 180 we give the grade of “Excellent”. If that is false, we know the Score is not above 180 and we need not ask that question again. We then ask if the score is above 170, if so we assign the grade of “Satisfactory”. If both of those tests are false, we assign the grade of “Failing”. NOTE: We must enclose the embedded IF statement in it’s own set of parenthesis.

Multiple Embedded IF()’s (2) CGS Spring Here is the format for the Multiple =IF() embedded statements with 4 levels. =IF(L 1,True 1,if(L 2,True 2,if(L 3,Tr ue 3,if(L 4,True 1,False 4 )))) 1. Notice the matching parentheses at the end. There are four levels and there are four end “)” parenthesis. 2. The last IF statement contains the False 4 statement which tells Excel what to do if all 4 if statements are false.

Charts and Graphs CGS Spring With a chart you can transform worksheet data to show comparisons, patterns, and trends. In Excel 2007 you can make a chart in about 10 seconds, which you'll see how to do in just a bit. After you create a chart, you can easily add new elements to it. For example, you can add chart titles to add more information to the chart, or change how chart elements are laid out.

Understanding the chart CGS Spring In this chart, the data from each worksheet cell is a column. Row titles (salespeople names) are the chart legend text on the right, and column titles (months of the year) are at the bottom of the chart. Any changes that you make to the worksheet data after the chart is created are instantly shown in the chart.
