1.On Ricoh Model numbers 2232 or 2238 you may scan any document in full color or B&W at no cost to the Institute. This affords a great way to store documents electronically, allowing you to move toward a “paperless” office. (Yes, we know that will never happen, but you can move in that direction!) To start, press the “Scanner” button at the lower left corner of your control panel. 2.Select your name (or someone else’s) to deliver the scan to. 3.Note: You may select multiple names to deliver your scan to all at once. Just select them by touching their names. Touch a name a second time to deselect it
4.If yours, or another recipient’s name is not pre-programmed into the control panel, you may enter addresses manually. Press the “Manual Input” indicator on the touch screen. 5.Use the touchscreen keyboard to enter your address(es). Note: You can enter multiple recipients. Just enter an address and press “OK.” Then enter another … and so on, until all addresses have been entered. 6.If you have a multi-page document, put it in the document feeder just like you would if making a copy. Then press “Start.” Scanning
7.If you have odd-sized, stapled, or bound documents that won’t go through the feeder, place them on the glass. Then press “Start.” A time delay is programmed into your copier to allow you to remove and replace multiple originals on the glass, keeping all scans in the same document. Do so, and press “Start” after placing each page, until finished. 8.After each manually scanned document is completed, press the “#” key (also labeled “Enter”) to send the document to yours or your recipients’ Inbox(es). Note: Documents scanned using the automatic document feeder will “send” automatically. 7 8
(9) When scanning odd-sized documents like receipts, you may encounter a warning message that says “Can’t detect original size.” If that is the case, then (10) select Scan Settings, (11) Scan Size, and then (12) choose a paper size and orientation that will be larger than the item you want to scan on the glass. Note: Usually “8-1/2 x 11” with the small paper icon oriented vertically works for most documents. (13) After making your selection, click “OK” and return to your scanning screen
Additional Notes Most of our copiers have been set to allow users to scan and send documents of any size. If you encounter an error message telling you that you have reached the maximum scan size allowed, please call Procurement Services to have your settings changed. The majority of our machines have been programmed to create multi-page PDFs by default when documents are scanned. However, it is possible to scan documents to JPEG and TIFF formats by changing the “File Type” at the right side of your scanner control panel. Other adjustments, such as resolution, scan type (e.g., color, b&w, photo, photo & text, scanning for OCR), image density, etc. can be made by accessing the “Scan Settings.”
