3 Financial Reporting Due Dates On the 10 th of each month grantees must submit financial reporting form A report is due each month even if there are no expenditures to report Final report Original, bearing original signatures
4 Financial Reporting Requesting Reimbursement Necessary Documentation Purchase Orders Invoices Checks Equipment Inventory Executed contracts (If applicable)
5 Financial Reporting Budget Amendment/Contract Changes Written Pre-Approval Process Form 5 with budget changes must be submitted along with letter requesting change
6 Financial Reporting Final Report Returned Funds – should be minimal 30 day liquidation
7 Progress Reporting Requirements Now one combined report Purpose – to ensure that the provisions of the contract are in compliance Report is due even if there is no activity to report
8 Progress Reporting Requirements Due Dates for Progress Reports December 10, 2008 March 10, 2009 June 10, 2009 August 31, 2009 Follow up report due September 2010 Failure to submit these reports constitutes a breach of agreement

10 Progress Reporting Requirements Send copies of newspaper articles and other media coverage with your summary report Send completed campaign materials, promotional items, etc. Inform the LRGVDC of any event dates (HHW, clean ups, trainings, etc.)
11 Monitoring Requirements Site Visit Grant project manager will conduct a site visit during the period of performance Grant project manager will view and photograph purchased equipment, construction, copies of purchase orders, etc. Purpose – to verify that grantee is on schedule and grant purchases have been made
12 Acknowledgement of Financial Support Contract states that you must acknowledge financial support of LRGVDC and TCEQ in the following: Campaign materials News media Promotional/educational items Signage
13 Acknowledgement of Financial Support Prepared in cooperation with the Lower Rio Grande Valley Development Council and Texas Commission on Environmental Quality The preparation of this report was financed through grants from the State of Texas through the Texas Commission on Environmental Quality and the Lower Rio Grande Valley Development Council
