How to create a Campus User Account for a new staff member First, check to see if the user already has an account by clicking the System Administration Users link from the Index. This will bring you to a User Search screen. Type the name as “Last,First” (either can be partial). Click Go, and find the staff member’s name from the results. Note that one staff may have more than one user account (log-ons).

How to create a Campus User Account for a new staff member If adding a new log-on, click on their Census Name that shows in black. This will bring you to the Create a new User screen. Type the desired user name (typically similar to their address, as first letter of first name followed by last name, i.e. LJungles). Enter a password for the user account. Select appropriate User group(s) and Calendar group(s) that most closely matches the new user’s job assignment. Select the Create User button. If that user name and password is already in use by another staff member, you will be prompted to select a different user name.

How to change a User Account in Campus If changing an existing log-on, click on the log-on name that appears in gray. The User Account tab will allow you to change their password or re- enable a disabled account. Be sure to Save any changes. The User Groups tab is where user rights are assigned, based on job responsibilities. Most users will belong to at least two groups; a tool group (job duties) and a calendar group (their school). The Tool Rights tab and Calendar Rights tab should not be used. All user set-up should be done in only the User Groups tab.

User Groups User Groups should reflect: Who: Job Title Tool Group – what you can see. What: Job Functions Specific responsibilities – what you can change. Where: Calendar Rights Usually specific to the school you work in.

User Groups OFFICE - - Standard (who) OFFICE – Scheduling (what) OFFICE – Transcript Posting (what) OFFICE – Calendar Set-Up (what) CALENDAR - - Salk Middle Counseling Calendar (where) Example: Middle School Counseling Secretary When assigning user groups to office staff, there are many variations possible. Start by assigning the OFFICE – Standard group and then add other OFFICE groups that apply to specific job responsibilities.

User/Group Security Rights Please follow the guidelines as shown in the examples. We need to be extremely careful to not grant access to data that may be protected by data privacy laws. If unsure as to what tools should be assigned to what job functions, contact the district support staff (Lisa x1237) for assistance. Reports will be available to office administration, showing all users and the user rights assigned to each user.
