THE PROFESSIONAL APPROACH SERIES © 2008 The McGraw-Hill Companies, Inc. All rights reserved. 13 Create a Table in Design View Changes in a table’s structure must be saved

THE PROFESSIONAL APPROACH SERIES © 2008 The McGraw-Hill Companies, Inc. All rights reserved. 14 Copy a Table Structure When copying a table you have three options: –Select to include only the structure Fields but no records –Select only the data Data added to another table –Select the structure and the data

THE PROFESSIONAL APPROACH SERIES © 2008 The McGraw-Hill Companies, Inc. All rights reserved. 15 Modify Table Properties Table properties do not change functionality of table –Provide information to help identify the object –Properties such as owner or date/time modified, are automatically updated

THE PROFESSIONAL APPROACH SERIES © 2008 The McGraw-Hill Companies, Inc. A database template is a ready-to-use database containing all the tables, queries, forms, and reports needed to perform a specific task. A new database created as a blank database does not contain objects or data. Some database properties come from the operating system of the workstation on which the database is created. Because database files can be quite large, you should not create a database on a floppy disk.

THE PROFESSIONAL APPROACH SERIES © 2008 The McGraw-Hill Companies, Inc. All rights reserved. 36 Lesson 4 Summary The two methods for creating a new table are using a template and creating a blank table. Table Templates provide a quick and easy method to produce a table containing commonly used fields, based upon a specific need. When a single field contains both alphabetic and numeric data characters, you must define the field as text data type. When copying a table, you can select to include only the structure, the structure and data, or only data. Before adding any field to a table, you first should make certain that it does not duplicate an existing field’s data.

THE PROFESSIONAL APPROACH SERIES © 2008 The McGraw-Hill Companies, Inc. All rights reserved. 37 Lesson 4 Summary When tables are created using Datasheet View, Access evaluates the data entered to determine the data type for the field to create. A caption is a field property that displays as a column heading in Datasheet View or as a control label in a form or report.
