Lesson 2 – Formatting Text Microsoft Word 2010

Learning Goals The goal of this lesson is for the students to successfully apply formatting to a document. The student will save, preview, and print the document.

Learning Objectives On completion of this lesson, students will be able to do the following: – Use the Home Ribbon to format text – Apply character effects to text – Align text – Cut and paste text – Use the Paste Special command – Drag and drop to edit text – Collect and paste multiple items – Apply styles – Create a border – Add shading to a paragraph – Preview a document

Fonts Recently used fonts appear at the top The rest of the fonts appear alphabetically below A font is the combination of properties for a set of characters such as typeface, size, weight, etc. Notice that each font name appears in its style

Font Dialog Launcher Button Remember to use the dialogue box launcher when it is available to provide more options.

Text Effects Can use the Text Effects button in the Font group on the Home tab OR Font dialog box launcher button  Text Effects button

Show/Hide Paragraph Button The Show/Hide formatting button in Microsoft Word will reveal hidden formatting marks that control the "white space" in your document.

Alignment Options Center (CTRL + E) Left (CTRL + L) Right (CTRL + R) Justified (CTRL + J)

Alignment Examples Left Right Center Justified This text is left aligned. This text is right aligned. This text is center aligned. This text is fully justified.

Cutting and Pasting Word Processors vs. Typewriters – You can move text around instead of retyping everything. Copy and Paste vs. Cut and Paste – Copying leaves the material in its original location. – Cutting takes the material from its original location. CTRL + X CTRL + C CTRL + V

The Office Clipboard Open with the dialog box launcher on the Clipboard group Can hold up to 24 items Click on an item in the clipboard to paste it. Items remain until the document is closed Use “paste all” or “clear all” to work with multiple items at a time.

Paste Special Keep Source Formatting – Doesn’t change text at all from it’s original location. Keep Text Only – Discards formatting and other objects. Merge formatting – Combines the formatting for the old and new areas.

Drag and Drop to Edit Text The same as highlighting and moving. Disable and enable the feature in the options dialog box (in the File tab)

Apply Styles Predefined formatting combinations of fonts, colors, and paragraph formatting. How could styles be helpful?? Preview using the Quick Styles gallery on the Home tab. Right click on preformatted styles to modify

Create a Border Paragraph and text borders make text stand out. Borders can surround an entire page. Create borders using the Paragraph group on the Home tab. (use the tabs to change the type)

Shading Used to emphasize text Found in the Paragraph group on the Home tab.

Previewing a Document Preview before printing to preserve resources Found in the Backstage view, Print tab Preview multiple pages by adjusting zoom

Printing a Document Hard copy vs. soft copy – Printed document is hard copy – An electronic copy is soft copy Print options are under the File tab
