Indicator 4.05 Process sales documentation

Identify types of information contained in sales documentation The document types can be tailored to meet the requirements of your company. Sales documents may contain the following: – General data – i.e. customer information, business name and contact information, date of the transaction, items purchased, purchase price, sales tax, and amount due – Shipping data – i.e. where the item will be shipped, when the item will be shipped, estimated time of delivery – Billing data – i.e. terms and conditions of payment

Identify types of information contained in sales documentation Types of sales forms: Receipt – lists all items purchased and can include customer/shipping information Credit - customer information required for the store to extend credit (paying over an extended period of time) – Some parts will go to the credit company, some to the customer and some will remain in the store Layaway – shows that the customer is making time payments (due dates, payments made and estimated completion date)

Complete calculations needed to process sales documentation Fill out the customer’s contact information and date of the sale Check the method of payment List the quantity purchased Provide a description of the item(s) List the price per item Calculate the price times the quantity purchased Total the amount of all items, add sales tax to arrive at the total

For example I.M. Special11/11/ My Way Lane Your Town, State Olympus digital camera Fuji 100 color film Fuji 100 b/w film $ This example does not include sales tax or shipping. In a real situation you would apply both if necessary

How to do the math Quantity x item price = extension 3 x $6.99 = $ x $24.95 = $ x $ = $ Add the extensions together = subtotal = $ Multiply the subtotal by the tax rate = tax $ x.07 (7%) = = $31.07 Short cut to total x 1.07 (tax rate) = $ Add the tax amount to the subtotal to get the total $ $31.07 = $ Note that shipping and certain other services (gift wrapping) might not be taxed and are added after the tax on the item(s) is calculated

Demonstrate procedures for processing sales documentation At the close of the sale, one copy of the sales ticket is given to the customer and one is retained by the business as a record of the sale. Accurately completing the sale keeps the customer confident in the store.
