Holdings Management Overview Tutorial support.ebsco.com

Welcome to the EBSCOadmin Holdings Management overview tutorial Welcome to the EBSCOadmin Holdings Management overview tutorial. Holdings Management is a suite of holdings tools within EBSCOadmin. These tools allow you to manage your library's Knowledge Base and holdings for searching in the new Full Text Finder interface and EBSCO Discovery Service. In this tutorial, we will review the features of the Holdings Management tab in EBSCOadmin.

From the Overview screen, you can view a summary of your holdings, modify, add, or remove your holdings, view the status of your uploads and downloads, and view Knowledge Base Change Summary reports.

You can add to your holdings or remove items by navigating to one of the tabs located next to Overview for Titles, Packages, or Vendors, or by using the features available in the Quick Actions section, such as Create a Custom Resource or Upload and Download Your Holdings.

Access the Upload and Download features using the links in the upper right-hand corner, or from the Quick Actions menu.

The Download feature makes it easy to download your collection into an editable file to add or delete title information in the downloaded list. Then you can upload it to Holdings Management for easy updates.

Upload is a convenient way to add many titles at once, replace your existing holdings information, or add titles that are part of your collection but aren’t found using the Title, Package, or Vendor search.  Upload also provides an efficient way to update coverage or embargo information for your titles.

Use the Titles screen to search the Knowledge Base for existing managed titles from EBSCO, or titles you have added to your collection using the Upload feature.  As you type, the responsive autocomplete displays titles containing the terms you enter.  If your title appears in the list, simply click it to view a list of packages in which it is available.

Use the drop-down menus in the Current Holdings column to add titles or remove them from your holdings.

On the Packages screen, enter search terms and click the Search button to find packages you would like to add to your holdings or those you wish to remove or edit.

Use the drop-down menus in the Current Holdings column to add an entire package or remove an entire package from your holdings. To add individual titles for a package rather than the entire package, click the package name.

If you are unable to find a title or package that you have in your collection in the Knowledge Base, you can create a custom resource or package in Holdings Management.

To create a custom package, enter the details of the package you would like to enter, in the fields provided and click Save.

To create a custom resource, enter the details of the title you wish to create in the fields provided and click Save. Note, when creating a custom resource, such as a print collection, it must be assigned to a custom package. You can assign it to a previously created package, or select to create a new custom package from this screen.

From the Overview screen, you can also access Publication Finder Reports and Knowledge Base Change Reports.

The Publication Finder Report allows you to analyze specific usage statistics highlighting items such as specific titles, that your end users are accessing.

The Knowledge Base Change Reports allow you to view changes made to EBSCO's Knowledge Base—the directory of all titles managed by EBSCO. These reports detail the behind-the-scenes changes that occur globally across the Knowledge Base and let you know when titles are added or removed.

For more information, click the Help link at any time to view the complete online Help system.
