Collection Analysis “How To”

Create a Titlewave account.

Choose a username & password and input your address

Fill in remaining info and submit!

Each time you visit titlewave login with you username and password to access your account.

First we have to export our MARC records from Athena. Directions here

Export Help Export Help Please note that export instructions may differ slightly between versions of a circulation system. If you are unable to export your records using these instructions, please refer to your circulation system's Help section, your System Administrator, or call ext to speak with one of our TitleWise experts. Athena Go to the Cataloging application to export your MARC records. From the cataloging menu: 1.Choose Export/Extract MARC records 2.Select "No order" 3.Do not limit the export. 4.Export to file; choose the location of the file where you want the export to be saved. 5.Choose "Export as a single MARC record." 6.Choose "Export"

Open Athena’s “Cataloging” tab and select Export MARC Records.

1. Select “No Order” 2. Do not limit Export 3. Select where to send exported MARC records 4. Export as single MARC 5. Finally click Export

It may take a about a minute When “Export is Complete” toggle back to Titlewise.

Select Submit Collection

Enter school and contact information.

Name your analysis and click next

We already exported our MARC records so just click next

Enter the prefix(es) used in your collection to identify each of these book categories/call numbers (enter N/A if a category is not used in your library) Then click next

I only want an analysis of the printed books in my library so I excluded magazines, videos and audio books

Click Browse and find where you saved your exported MARC records. Then click finish!!

It takes a few minutes…

Explore each of the tabs and print your report!!!

How can you use this information? Here is one example… (taken from an advocacy presentation)

Funding: Currently: $2,000 for books and reference materials. Average price of new Hardback YA Titles= $21.60 Budget allows – 92 books a year

That equates to… One book purchased for every twelve students.

Collection Analysis: 12 books per student Recommendation of California School Library Association:  25+ current books per student Lindsay High School has less than half the recommended collection size given our ADA.

Age Sensitivity: Average Age of nonfiction collection: 1985 Roughly 90% of the books in our collection are considered aged and should be replaced with current titles

Recommendation: Increase funding for books and reference materials to $8,000 to move forward in our attempt to become a school with an exemplary Library Media Center.
