Item Record Fixed Fields Copy number – first copy is 0 (zero.) Numbers are assigned to copy 2 and upwards. Enter number only in this fixed field. Suppress – This field can be changed to suppress display of an item if it was checked out and never returned. Item Type – DO NOT USE. Loan rules are controlled by the location code. Price – Enter the list price, or the appropriate approximation. Location – Use the appropriate five letter item location code. Status – can be changed to IN PROCESSING, MISSING, LOST AND PAID.

Circulation The lending and returning process. The circulation module tracks and executes circulation transactions involving the interaction of data from multiple files and tables in the ILS.

How does the ILS determine the due date at point of checkout?

Checkout Transaction Barcode is scanned to retrieve patron record System consults patron block table for limits and/or blocks. Item barcode is scanned to retrieve item record. System consults loan rule table. To find loan period. System consults calendar table to determine due date

Discharge Process Item barcode is scanned in discharge mode. Item is freed from link to borrower record and status is returned to available/shelving/hold for new patron/transit to different location.

Borrower Registration Patron fills out paper application. Information is verified and entered into borrower database. Borrower record is created. Some libraries also offer online applications. Some libraries load borrower data from external database such as student database.

Bibliographic Records A catalog records that uniquely describes a title.

Item Records An item record must exist for each piece or copy of a title that circulates.
