DEVELOPING A PROFESSIONAL LOOKING WORKSHEET By Dr. Ennis - Cole

OBJECTIVES w Format data using the Number, Currency, Accounting, and Percentage w Align cell contents w Center text across columns w Change fonts, font style and font size w Clear formatting from cells

OBJECTIVES w Delete cells w Use borders and colors w Add text box and graphics using the drawing toolbar w Remove gridlines w Print in landscape orientation w Hide and unhide rows and columns

Starting Excel and Organizing the Desktop w Start Excel w Make sure data is in the drive w Maximize the Microsoft Excel Window w Click Open w Click File, Save As to save the workbook under another name

Formatting the Worksheet Data w Excel applies an automatic format known as the General Format w Numbers are right aligned, while text is left aligned w A minus sign is used for negative values w Numbers are displayed without trailing zeros to the right of the decimal point w AutoFormat changes formats

Formatting Numbers w Select the cells w Click Format, Cells, Numbers tab in the Format Cells dialog box w Select a format category from the Category list box w Select the desired options w Click OK

Currency and Accounting Formats w To Format columns with the currency format: Select the cell range Click Format, Cells Click the Numbers tab Click Currency Click the third option in the negative numbers list box Click OK to format the selected range

The Accounting Format w Select the range w Click Format, Cells w Click the Number tab w Click Accounting w Click the Decimal Places w Click OK w Click any cell to deselect the range

Adding a Border w Select the cell w Click Format, Cells, and the Border tab w Click the line style you want w Click the appropriate button for the border Click OK

Applying Patterns and Color w Select the cells w Click Format, Cells and the Patterns tab w Select a pattern from the list w Select a color from the pattern palette w Select a colored background from the Cell shading color palette w Refer to figures 3-26 & 3-27

Activating and Removing Toolbars w To activate a toolbar, click the right mouse button w View the Toolbar Shortcut menu w Click the name of the toolbar w To remove a toolbar, click any toolbar with the right mouse w Click the name of the toolbar to remove

Adding a Text Box w Click the Text box button on the Drawing toolbar w Position the pointer where you want the text box to appear w Click and drag to outline the size and shape of the text box w Type the text for the text box w Click outside the text box

Adding an Arrow w Click the Arrow button w Move the mouse pointer and the pointer changes to + w Position + on the top edge of a cell w Make sure the line is straight w Release the mouse button w Click any cell to deselect the arrow

Removing the Drawing Toolbar w Click the Drawing button w Press Ctrl + Home to make the cell active w Click the save button w To remove display of gridlines Click Tools, Options and the View tab Click Gridlines checkbox to remove the check and deselect Click OK

Hiding and Unhiding Rows and Columns w To hide rows and columns Select the rows and columns Click Format, Print Column and Click Hide w To unhide rows and columns Select the rows and columns Click Format, Print Column and Click Unhide Save and close the workbook and exit Excel.
