What Is SharePoint SharePoint does so much, it’s a challenge to just articulate what it can do…SharePoint is a web tool that is similar to OnCourse, however with OnCourse it is used as an online web tool that utilizes various functionality (Grade book, etc…) that is tailored to the specific needs of the student and instructor interactions. SharePoint is a web content and document management tool technology that is used in a different capacity providing the functionality for Faculty and Staff the ability to quickly and easily create enterprise intranet or internet web sites. What Is SharePoint These websites are created using your internet browser and the graphical online SharePoint tools. That means anyone now has the functionality to create personal and departmental websites in a matter of minutes. –No more IT (LSP) involvement or development Cory P. How SharePoint Is Used At IU At Indiana University we are utilizing SharePoint in a number of exciting ways since the technology is tightly integrated into Active Directory (Security), Exchange (Outlook), Microsoft Office, and Office Communicator (OCS Chat). As result we are able to leverage SharePoint and these technologies to deliver SharePoint as the IU Cloud solution. –That means that the days of having to save and edit documents on your desktop or from abroad are gone. SharePoint As The IU Cloud We can now use internet browsers to securely access and store data from anywhere there is internet and even offline to save and edit documents directly into your browser (i.e. SharePoint). Think of SharePoint as an advanced online file server with web capabilities –Open any Word, Excel, PowerPoint, or OneNote document from your browser without the need to use any installed Office client components, the SharePoint services provides an Online Microsoft Office experience. What that means to you is that that similar to Google Docs, you now leverage the secure IU Office Web Apps (similar to Google Docs) and SharePoint's document repository for the creation of documents from your browser and also view in your mobile devices. SharePoint IU Business Examples SharePoint provides the functionality to quickly customize and deploy trouble tracking ticket systems, the creation of inventory hardware and software tracking, the creation of project management group sites, website creation to get web content out quickly to your stakeholders (audience), route workflow for document management, and other quick deploy business solutions requirements that would take a developer and designer weeks and sometimes months to develop. SharePoint Features Some of the useful SharePoint tools include My Sites which is your personal document storage space to secure personal or public documents you need to share, Alerts to notify you via when documents or changes have been made to a website, document Versioning (No need to save version 1, 2, 3, 4, etc…), document storage similar to file services without the need to use VPN or Remote Desktop from home or abroad. SharePoint Advanced Features Additional advanced features include Business Intelligence tools to allow you to connect to line of business connections meaning that you can create reports and distribute to your End-Users via a secure website, no more unsecure ! Application development –ADS Lookup Tools, Custom Data Views, the potential is quite impressive. –Self-Service Access Databases creation via SharePoint. Cory P.
