IBM Software Group © 2003 IBM Corporation April 7, 2004 Define Process  Process flow is initially defined by business analysts  Process strengths and weaknesses determined by simulation/analysis  Process model is used to create workflow model  WebSphere MQ Workflow acts as a ‘conductor’ of all back-end systems and applications

IBM Software Group © 2003 IBM Corporation April 7, 2004 Defining Event Data & Alerts (Business Measures)  Alert information and displayed WBI Monitor data are defined in process model  Business Measures (or Key Performance Indicators) consist of a METRIC, captured a specific LOCATION in the process  Event alerts (or Notifications) can be added to the Business Measures  No coding is required

IBM Software Group © 2003 IBM Corporation April 7, 2004 Step 1: Define Data to be Evaluated  Users are provides 14 pre-defined metrics  Users are able to define any custom metrics desired, based on the data elements in the workflow process  Select the data field and provide the desired name  As long as the data item is captured in process (entered by person or obtained from system) it can be monitored and alarms can be triggered

IBM Software Group © 2003 IBM Corporation April 7, 2004 Step 2: Create Expressions (If Desired)  Simple Business Measures display any data from the process in real-time  Expressions cause metrics to be evaluated prior to displaying information  In this case, Total_Cost data field is being compared to Total_Budget

IBM Software Group © 2003 IBM Corporation April 7, 2004 Step 3: Define Location to Capture Information  User selects what step in the process the Metric (or data) will be captured  Process steps are provided in the ‘Name’ drop-down box  PROCESS_START and PROCESS_END are pre-defined locations

IBM Software Group © 2003 IBM Corporation April 7, 2004 Step 4: Define Event Alarms  User indicates what type of alarm is desired ( and/or monitor alarm or workflow process instance)  Criteria is defined to determine who receives the alarm

IBM Software Group © 2003 IBM Corporation April 7, 2004 Step 5: Define Event Alarm Message  Create the template that will provide necessary and/or monitor information in the alarm  It is possible to include specific data fields information in the message body  XML file is created by WBI Workbench modeling tool. This file is imported into WBI Monitor to ‘program’ what information to capture  NO coding is required

IBM Software Group © 2003 IBM Corporation April 7, 2004 Workflow Process Receives Data  Workflow process receives data from any internal legacy systems or applications  Data can also be entered through a Web interface  This is how the data is entered in our simple example

IBM Software Group © 2003 IBM Corporation April 7, 2004 Monitoring Your Workflow Process Real-Time  Adminstration feature allows for create individual views  Users create view (or reports) using any or all the available business measures

IBM Software Group © 2003 IBM Corporation April 7, 2004 Monitoring Your Workflow Process Real-Time  Process instances (items in process) can be filtered by ANY of your business measures

IBM Software Group © 2003 IBM Corporation April 7, 2004 Monitoring Your Workflow Process Real-Time  Workflow Dashboard shows all of the business measures defined in the process model

IBM Software Group © 2003 IBM Corporation April 7, 2004 Monitoring Your Workflow Process Real-Time  Workflow Dashboard allows process owner to view the status of each step of the workflow process from a business perspective

IBM Software Group © 2003 IBM Corporation April 7, 2004 Monitoring Your Workflow Process Real-Time  Continuation of the current view from previous slide  Notice ORDER_EXCEEDS_BUDGET

IBM Software Group © 2003 IBM Corporation April 7, 2004 Review Event Alarm Notifications  Event alarm notifications are provided by user, based on Login ID  These notifications are caused by the vendor order exceeding budget

IBM Software Group © 2003 IBM Corporation April 7, 2004 Review Event Alarm Notifications  Each notification can be selected to read the template message defined earlier

IBM Software Group © 2003 IBM Corporation April 7, 2004 Monitoring Your Events  By clicking on Activity Instance the individual events can be reviewed

IBM Software Group © 2003 IBM Corporation April 7, 2004 Monitoring Your Events  Process instances can be controled from the montior view

IBM Software Group © 2003 IBM Corporation April 7, 2004 Monitoring Your Events  View what step each order is in the process

IBM Software Group © 2003 IBM Corporation April 7, 2004 Defining Real-Time & Historical Reports  In Business Dashboard users define custom views (or reports)  Financial business measures can be ‘filtered’ (vendor name, order exceeds, etc.)

IBM Software Group © 2003 IBM Corporation April 7, 2004 Defining Real-Time & Historical Reports  Each view displays the information in table and graph (if desired)  This view shows all new orders in last two days, filtered by vendor

IBM Software Group © 2003 IBM Corporation April 7, 2004 Defining Real-Time & Historical Reports  This report shows the current process step of new orders from the last two days
