Student Tracking Process Paul Blakemore – Examinations & Data Manager

My Role: Sole responsibility in the academy for…… All Examinations & Procedures – Internal / External Diploma / BTEC / Nationals coordination Results / Statistics production and reporting Student Tracking / Reporting & Analysis Data Management – Collection / Storage / Analysis

Previously: Pupil Monitoring – was carried out twice a year Data collection using OMR sheets Poor reporting home to parents Poor quality information collected from staff – too much Information collected wasn’t then used by staff properly Analysis produced was dated and not necessarily appropriate Paper copies of analysis distributed only

New Process: Data collection now done electronically – through marksheets ‘Student Tracking’ done every half term (6 weeks) Result Sets used to distinguish data collection periods More thorough and better quality analysis now produced, and distributed via to key members of staff (paperless) Improved reporting to parent – ‘traffic light’ colour coding along with detailed explanations of the reports Student awareness of tracking validity

Data Collection: Collect a Current Grade / Level, and Attitude to Learning & Home Learning Values – Concise data collection Traffic Light Colour Coding in place to aid staff in in teaching and preparation (after data collected). Don’t display previous “Tracking” collected as to encourage a fresh data set be reported by staff – improved quality of information collected!

Analysis: Assessment Manager ‘Master’ Template created ready for data to be exported to excel

Analysis: Analysis produced in excel along with summary figures for the cohort

Reports:

SIMS Advantages: All data readily available in SIMS for future use and analysis Easy access to ‘Tracking’ data for all staff, via ‘tab’ features linked to class registers ‘Tracking Data’ can be used alongside other SIMS data in reports (behaviour, examination entries, official exam results) LINKED DOCUMENTS – enables all reports to be stored in a students profile (document library for reports) Paperless system – allows for improved efficiency

Further Development: ‘Performance Wall’ produced for Years 10 & 11 - Visual display of ‘Tracking Analysis’ for Staff & Students to use

SIMS Learning Gateway & Discover: SLG Gives us the facility to fully utilise all data collected Access to key stakeholders (staff, students and parents) Real-time reporting – development of academy system! Discover ‘Electronic’ performance wall Enhance visual display of analysis – for management use

Summary: Good process / procedures now in place for staff (deadlines set) Importance of data quality highlighted, and awareness raised Information now readily available in all formats for staff throughout the academy – and being used! Students much more familiar with ‘Tracking’ and take ownership of progress made Reporting to parents much improved – quality of information heightened and understanding increased
