The correction window will be open from 7:00 AM to 10:00 AM for these payrolls. Please note, the pay dates will not change and checks will not be distributed early. Projection of Hours Payroll Contacts are required to project hours for true hourly employees (employees who do not have a work schedule in SAP). Absences should also be projected for these dates. Please remember, do not project hours unless you feel the employee(s) will be present on the projected day(s). Under-projected hours can be paid in the subsequent paycheck; however over-projected hours may result in overpayments and will require much more effort to recover. Kronos The only Kronos pull for the week ending 12/16/12 will be Wednesday, 12/12/12 at 10:15 p.m. instead of Sunday 12/16/12. There will be no Kronos pulls for the weeks ending 12/23/12 and 12/30/12. Therefore, all hours for the period of 12/13/12 to 12/30/12 must be entered directly into CATS. Employees who use the Kronos system must continue to clock in and out from 12/13/12 through 12/23/12 for auditing and reporting purposes. Payroll Contacts must enter these hours in CATS before 10:00 AM on the payroll run date. Master Data Changes Master data changes and IFORMS are prohibited on payroll run days, therefore, no changes are allowed on 12/13/12, 12/17/12 and 12/19/12. We encourage all Payroll Contacts to thoroughly review your payroll reports (Earnings and Ztim) in order to prevent any possible errors. The last date to request an off-cycle check before the winter break is noon on Tuesday, December 18, AA Payroll will pay on 12/21/12 (will be ponied to your location) BB Payroll will pay on 12/28/12 (will be mailed to your home address in SAP) Year-end Requirements and W-2 Processing We are gearing up for the annual W-2 process. All checks with a 2012 pay date will be included in the Form W-2. The last AA Payroll check is 12/21/2012 and the BB Payroll check is 12/28/2012. Your participation is necessary to ensure that all payroll data is processed in a timely manner to prevent incorrect W-2 statements. Year-end Check List  Process all absence certificates for 2012 by the time entry deadlines shown above.  If you have paychecks or pay advices for employees no longer at your location or have left the District, please return them to the Payroll Department with a sticky note with a brief explanation.  Complete all “PAYROLL NOTIFICATION-ADJUSTMENT OF WAGES/DELETION OF HOURS FORMS” and send them to your Payroll Processor.  Remind employees to update their contact information, including their permanent address in SAP. Retirements, Terminations and Leaves Payroll Contacts, please notify your Payroll Processor via of all retirements, terminations and leaves as soon as you are aware of these actions to prevent possible overpayments. The following information should be included in the notification:  Personnel number  Employee name  Type of action  Effective date of action ZDH Subtype ZDH is an attendance subtype used to stop payment. Therefore there will be no change to employee FICA Tax deductions for the 2013 calendar year. If Congress does not extend the tax cut for the 2013 calendar year, the FICA tax rate will revert back to 6.2% and, employees will see an increase in their FICA tax deductions in We will keep you apprised of Congress’s decision on this issue…..
