Departmental Inventory Portal (FRMS) Inventory Services University of Texas at Austin

What is the Departmental Inventory Portal? The Departmental Inventory Portal is a subsystem of the Financial Resource Management System (FRMS) The Departmental Inventory Portal is a web-based process that allows you to update inventory information without logging into DEFINE

What can you do in the Departmental Inventory Portal? The Departmental Inventory Portal allows you to: Mass update various fields for items: Missing/Found status, location, responsible person, comments View information about an item: Unit code, amount, ownership, model, serial number, description, PO number, document ID, status, responsible person, location, and elemental details Download your department’s item list to a spreadsheet

Limitations of Departmental Inventory Portal You cannot update individual elements in the Departmental Inventory Portal Example: If an item has 3 different elements, but 1 of them is missing, you cannot correct this in the portal. Instead, you will have to update the missing element in DEFINE You cannot view detailed item history, like you would be able to on Screen 3 of NV1

Accessing Departmental Inventory Portal from FRMS 1. Enter the Search tab 2. Click “Inventory”

Viewing Your Department’s Inventory Enter your department’s 7-digit unit code here. Then click “List Items”

On the Item List Screen…. You can download a spreadsheet of your department’s inventory You can click individual items to edit them or to view more information about them

On the Item Details screen… You can edit an item’s status, responsible person, and location You can also view PO, Doc ID, and element information

Mass Update 1. Click “Mass Update” 2. Check the items you want to update 3. Click “Next”

Mass Update 1. Choose updates to apply 2. Click “Next”

Mass Update Read over changes, then click “Confirm”
