ADE IT Project Design Review Committee 1 4/22/2017 ADE IT Project Design Review Committee SCQA Format MCESA Visitor Site-RDSS Connection Presented by Rich Schnettler (Business Analyst) May 18, 2012

Presentation framework 1 4/22/2017 Situation Complexity Question Answer Presentation framework Situation Complexity Question Answer

1 4/22/2017 Situation Complexity Question Answer What is the objective Provide tools to access and manage the web pages and REIL DSS marketing content that display on the MCESA Visitor Site (“MCESA Site”) Provide access point from the MCESA Site to the REIL DSS application via a login link Problem Statement: The purpose of this project request is to migrate the MCESA Visitor Site (“MCESA Site”) from SchoolWire, a 3rd party vendor, to ADE servers in preparation for deployment. The MCESA Site will need to add a login link, which should provide navigation to the EduAccess login function where the user may enter their credentials, and upon successful authentication access the RDSS Landing Page. Note 1: The information included in this deck came from the MCESA Site BRD, project plan, as well as a several schoolwires authored documents.

1 4/22/2017 Situation Complexity Question Answer Why Site with clearer message and branding for MCESA Provides mobile-friendly version of the site that allows stakeholders and community to stay connected Seamless integration with RDSS/PODCT application Easily self-maintained site by MCESA with content that is current and readily accessible Maricopa County ESA [MCESA] has contracted with Schoolwires to implement a new website that facilitates communication with its stakeholders for the Reward Excellence in Instruction & Leadership [REIL] project. Note 1: Schoolwires: http://www.schoolwires.com Note 2: The MCESA RDSS application is currently in production and only consists of the Observation Data capture tool (PODCT) module so there are no additional IT development and support requirements that are expected. The login function (EduAccess) is also already deployed in production which validates credentials and allows access to RDSS/PODCT.

How will the project be delivered 1 4/22/2017 Situation Complexity Question Answer How will the project be delivered What technology will be used? Schoolwires Design and develop MCESA Site using Centricity2 MCESA personnel creates marketing content for MCESA Site Provide Centricity2 content management tools & training to MCESA personnel Work with ADE to migrate MCESA Site to ADE servers Handoff MCESA Site management to MCESA personnel ADE Provide web & application servers to support MCESA Site Provide new link from MCESA Site to EduAccess login function from which RDSS/PODCT may be accessed – to be confirmed Schoolwires Centricity2 Centricity2 is a website and content management system that brings together all your essential technologies, tools and information in one place. A place where students, teachers and parents can come together to achieve district success. And as your district advances and you need new technologies, Centricity2 and its integration capabilities will grow along with you. In fact, you’ll be able to measure your community’s growing level of engagement through integrated Web analytics that allow you to proactively monitor online activity. Extend your reach with Centricity2: Connect with key stakeholders Securely communicate with staff via an intranet Build confidence in the value of your district Improve public relations through increased exposure Enhance your district brand Go green — save paper and reduce your footprint Spend less time on IT and more on education

Architectural viewpoints 1 4/22/2017 Situation Complexity Question Answer Architectural viewpoints What is the high-level functionality ? The MCESA Site should: Provide access to REIL DSS marketing collateral that has been published to the site that is available to any visitor, regardless if they have login credentials or not. Content on the site may be in the form of download enabled public videos and documents, text and image files, and surveys to collect feedback. Provide a link to access the login function, which should accept credentials (i.e. user name and password) and if valid provide navigation to RDSS Landing Page and allow access to PODCT application Note: There are no other system or application interfaces MCESA Site (Visitor) – High-Level Functional Model

Architectural viewpoints 1 4/22/2017 Situation Complexity Question Answer Architectural viewpoints How is information managed and distributed? Web & Database Servers using MS SQL Database Will need to store marketing content including illustrations, video, document files, and text What development tasks are required? Provide capability to login to MCESA Site to use Centricity2 tools to manage the site (Schoolwires) Provide link from MCESA Site to login function instead of logging directly into RDSS/PODCT (ADE or Schoolwires) What is the estimated amount of usage? Initial: REIL Alliance districts, up to 17 LEA’s Future: Expansion to 225 LEA’s Note 1: Development: Initial site design and development was performed by SchoolWires Note 2: Usage: Visitors may be unlimited since it is “open access” to anyone with internet access potentially. Note 3: Usage: The number of users accessing the site, at a minimum, are the same as those that currently use the RDSS PODCT application. Note 4: Other: Centricity 2.0 server implementation features a standalone or clustered implementation approach: SERVER REQUIREMENTS (Standalone)   Web Server Chassis: Tower or rack Size specific to customer expectations CPU: Dual Processor 2 GHz Xeon and above Memory: 4 GB RAM Disk: Data: Raid 1 (2X72GB) or RAID 5 (3x72 Minimum) Size Specific to client needs (72GB or higher) OS: 40GB or Raid 1(2X40GB) or RAID 5 (3x40GB) Software: Windows 2008 Server (Enterprise 64 Bit recommended) Database Server CPU: Dual Processors 2 GHz Xeon and above Disk: Data: RAID 5 (3x72 Minimum) Size Specific to client needs (72GB or higher) OS: 40GB or Raid 1(2X40GB) or RAID 5 (3x40GB) Software: Windows 2008 Server (Enterprise 64 Bit recommended) and SQL Server 2008 Standard or better If running servers in a Virtual Environment, we recommend setting the servers as a dual processor because it will utilize all of the available processors and will not reduce performance of the application. As for the disk, we do recommend a separate partition for the OS and data drives. If you are utilizing network storage, there is no need for a large virtual disk for the data drive as all the files can be stored utilizing a share on that storage device. We also recommend Windows 2008 Enterprise x64 so that the memory can be increased and actually utilized above the 4GB standard per process limit. =================================================================================================================== SERVER REQUIREMENTS (Clustered Implementation) Web Servers Disk: Data: Shared Storage 100GB Mapped Drive OS: 40GB or Raid 1(2X40GB) or RAID 5 (3x40GB) Software: Windows 2008 Server Enterprise (64 Bit recommended) Cluster: Microsoft Network Load Balancing or Physical Load Balancer/SSL Accelerator Database Servers Memory: 8 GB RAM Disk: Data: Must utilize a minimum 50GB SAN LUN OS: 40GB or Raid 1(2X40GB) or RAID 5 (3x40GB) Software: Windows 2008 Server Enterprise (64 Bit recommended) and SQL Server 2008 Standard or better Cluster: Active/Passive SQL Server 2008 Failover Clustering If running web servers in a Virtual Environment, we recommend setting the servers as a dual processor because it will utilize all of the available processors and will not reduce performance of the application. We also recommend Windows 2008 Enterprise x64 so that the memory can be increased and actually utilized above the 4GB standard per process limit. Currently Server 2008 R2 does not support SQL Server 2008 Failover Clustering, and you must use SP1.

Architectural viewpoints 1 4/22/2017 Situation Complexity Question Answer Architectural viewpoints Deployment: MCESA Site: ADE Hosted Operations: MCESA Site should be available for access in accordance with current ADE policy for web site availability SLA for server support is expected to follow current ADE help desk support availability and protocols - 7 AM to 6 PM Local time Backup & Recovery is expected to conform to current ADE policy & procedures MCESA personnel to self-manage site & content using Schoolwires Centricity2. Note: MCESA will need to make decisions about content retention and archival needs. From the available support model options: interim, short-term, and long-term, none has been selected Notes: RDSS Site is already hosted at ADE. SLA’s for RDSS/PODCT including login application are assumed to already be documented and approved. The number of User’s to login to the RDSS is not expected to change with the implementation of the MCESA Site.

Architectural perspectives 1 4/22/2017 Situation Complexity Question Answer Architectural perspectives Security: Schoolwires Tools: Unique User ID/Password for MCESA personnel access to Centricity2 tools is required and managed within URL: Current URL: www.mcesa.az.gov Navigation to EduAccess Logon Page  Future URL: www.mcesa.az.gov Navigation to MCESA Site  Navigation to MCESA REIL/PODCT: www.mcesa.az.gov/REIL/PODCT
