2. Electronic mail is an important means of exchanging messages. 3. It is important to recognize that if your employer supplies you with an account, all messages sent to and from that account are property of, and accessible by the employer. If you plan to send personal , it is recommended that you do not use the account provided by your employer.

4. messages can be accessed by using an e- mail program that is installed on your computer, such as MS Outlook. 5. A web-based service allows you to send and receive messages by logging on a web site. Examples are hotmail, gmail, yahoo mail

7. The inbox window is divided into four sections:  a listing of all account and folders  a message list  a reading pane  the calendar

8. The Inbox folder is the destination for incoming messages. 9. The Drafts folder retains copies of messages that you are not yet ready to be sent 10. The Sent Items folder retains copies of messages that you sent. 11. The Junk folder contains messages that have been flagged as junk

12. Spam is unsolicited commercial messages. 13. Deleted Items folder contains messages that you have deleted. 14. The Outbox folder temporarily holds messages you send until Outlook is connected to the mail server and processes the messages.

15. A blue number in parentheses following a folder name indicates the number of messages in the folder that are unopened. 16. The subject and sender, date/time message was received, and attachments are referred to as the message heading. 17. An opened or closed envelope icon indicates whether an has been opened or not.

18. An exclamation mark indicates the message has been marked high priority. 19. A paper clip indicates the has an attachment. 20. Other icons indicate whether the recipient performed an action, such as replying to or forwarding the message.

21. A red flag icon indicates that you have chosen to mark the message as an important message that you want to revisit at a later time. 22. You can create additional folders in your inbox by right-clicking on the Inbox and selecting new folder. 23. The message list displays messages in reverse chronological order.

24. A digital signature provides a way for the sender to verify his or her identity. 25. To open an message, double-click the message heading. 26. Using the reply is an easy way to compose and send a reply to an message.

27. Deleting a message moves it from the Inbox folder to the Deleted items folder. 28. You should never open a file attachment from an unknown source. 29. When composing an message, enter a brief subject that identifies the purpose of the message.

30. Formatting is altering how a document looks by modifying the style, size, or color of its text or by changing its background. 31. In a business environment, it is inappropriate to apply excessive formatting to an message.

32. Anatomy of an Message a. To Line contains one or more addresses of the message’s recipient or recipients. b. Cc line lists the addresses of the recipients who will receive a courtesy copy of the message. c. Bcc line contains the addresses of recipients who will receive a blind courtesy copy of the message. A bcc is visible only to the sender and the bcc recipient.

d. Subject line contains a description of the message content. e. Attachment line contains the file names of any attachments. f. Message body contains the actual text of the message. g. Signature file contains the standard content and contact information of the sender.

33. The Contacts feature stores information about your family, friends, colleagues, and others. 34. To add a contact, click Contacts in the left pane, the new button on the menu bar and fill in the information. 35. A distribution list is a list of addresses to which you can refer collectively by a single name.

36. A web feed is a format for providing frequently updated content. 37. Really Simple Syndication (RSS) is the technology that allows web pages to be distributed or syndicated.

38. RSS feeds can be accessed through Favorites. 39. Using a subscription model similar to RSS feeds, a Web slice enables users to view a portion of a Web page to which they have subscribed.

50. If you no longer want to receive messages from a mailing list, you have to unsubscribe. 51. A newsgroup is an online discussion group devoted to a particular topic and consisting of a collection of messages that can include pictures, movies, and audio, posted by many people around the world.

52. A special computer called a news server contains related groups of newsgroups. 53. To participate in a newsgroup, you need a program called a newsreader. It enables you to access a newsgroup to read a previously entered message or to add a new message called posting.

54. The original article and all subsequent related replies are called threads or threaded discussion.
