Integrating Data Across Multiple Programs and Institutions Arnold Hassen, CTO, CIO WVSOM

Integrating Data Across Multiple Programs and Institutions Data, Data, Data, We dont need no stinking data.

Integrating Data Across Multiple Programs and Institutions Apparently someone does! WVa Report Card Higher Education Policy Commission Central Office WVa Legislature US News and World Report Petersons Guide Governmental Agencies AOA AACOM President Dean Faculty Staff Media

Integrating Data Across Multiple Programs and Institutions Data = Information; useful, no. Information + Context = Knowledge; useful, maybe. Knowledge + Experience = Wisdom; useful, hopefully.

Integrating Data Across Multiple Programs and Institutions How many students are enrolled in first year class? First day? Census date? Repeating students? Coming back after medical leave? New, first time students?

Integrating Data Across Multiple Programs and Institutions How many graduated in class of 2002? According to school anyone receiving a degree between graduation day and December 31 is listed in class. Some count only students graduating prior to beginning of next school year.

Integrating Data Across Multiple Programs and Institutions How many in-state students return to practice? In-state at acceptance? In-state status achieved during program? Is there a difference?

Integrating Data Across Multiple Programs and Institutions What kind of data are kept? Demographic, status Business processes

Integrating Data Across Multiple Programs and Institutions One database or thirty seven?

Integrating Data Across Multiple Programs and Institutions Each database has been set up and modified to meet specific needs and goals. These may reflect the departments needs and goals, not the Institutions needs and goals. The owners of these databases usually report to different components of the Institution.

Integrating Data Across Multiple Programs and Institutions So, whats the problem?

Data: A Deans View Michael D. Adelman, D.O. Dean, WVSOM

Problem One:

SO MANY PROGRAMS… Osteo-admitBanner Year 3-4 scheduling program Year 1-2 scheduling program Alumni Database GME Database Rural Health Education Program

AND NONE OF THEM TALK TO EACH OTHER!

Increased man-hours Must transfer the data to other programs Must re-input the data several times Everyone has to print out the same information Need to bring together data from several sourcesthus if you dont receive all of the data your conclusions will be less accurate This is COSTLY $$ TimeMoneyEnergyPaper

ITS REDUNDANT!!

WHY CANT I GET THEM TO TALK TO EACH OTHER?

Problem Two:

Sometimes the data in one data base is different than the same information in another! E.g., Two different permanent mailing addresses

Which Data is Correct???

Problem Three

I need data quickly I cant find it at one source I get the run around Sorry you need to talk to… I dont have that information, have you called… I can give you this part but you need to go to X for the other part… Sorry, thats not my job…

WHY DO I HAVE TO GO TO 10 PEOPLE TO GET MY DATA!! WHY NOT JUST ONE PERSON?

Solution…. Have an Institutional Data Officer One stop shopping! Not really so…

What I hear from ID officer: I have to call X to get that data, Ill get back to you I have to call X to get that data, Ill get back to you Why call you then– Why not call X directly? It will take a while but I will get you that Data. (And I know he is still calling X to get it!) Im not sure we have that data. Ill have someone check on it.

Advantage of ID Officer Hes looking for the data instead of me! He probably already knows where to get the data Before Id get raw data now I get translated data Could be good or bad! Now I look at all data from the ID Officers point of view instead of mine.

This should take care of Data Collection and Analysis Right? NOT SO FAST!

There is no systematic reporting with analysis! Lack of executive summaries with conclusions Should be able to get: Analysis of what caused the data to change National trends compared to our data Graphs as well as text

What I really need is…

DATA DATADATADATADATA DATADATADATADATA DATA DATADATADATADATA DATADATA DATADATADATADATA DATADATADATADATA DATA PERSON!

Integrating Data Across Multiple Programs and Institutions Is there a solution?

Integrating Data Across Multiple Programs and Institutions There should be a reason for each survey, report, data request. Duplication should be avoided. If IPEDS has the necessary information, use IPEDS, do not create a new survey. Prove that something is done with the data request. Data mining is a serious task. What answers are obtained depend on the questions that are asked and the resources used. This requires an Institutional solution. An iterative process identifying the information that is needed, the location, validation criteria, management criteria, reporting criteria all done efficiently and effectively.

Integrating Data Across Multiple Programs and Institutions AACOM should facilitate improvement of data collection and analysis by working with the AOA and the Deans to identify a single Institutional Data Manager at each Osteopathic School, development of surveys in collaboration with Deans and Data Managers, and by minimizing the amount of data collection and maximizing the value of the data collected
