Business Letter 1. Heading 2. Inside address 3. Salutation 4. Body There are six parts to a business letter. All parts of a business letter begin at the left margin. 1. Heading 2. Inside address 3. Salutation 4. Body 5. Closing 6. Signature

The Heading (start this on the first line of the page, at the left margin) This is the writer’s (your) information. It has three lines of information. line 1: your street address line 2: your city, state, and zip code line 3: the date the letter was written ( You must write out the month; do not abbreviate.)

The Inside Address (skip two lines below the heading) This is the name and address of the person or company to whom you are writing: line 1: The person’s/company’s name line 2: The street address line 3: The city, state, and zip code

The Salutation (skip two lines after the inside address) This is your greeting. line 1: Begin with Dear followed by a courtesy title and the person’s name. Use a colon after the name. Example) Dear Mr. Reynolds: Example) To Whom it may concern:

The Body (skip two lines after the salutation) This is the main part of your letter. Skip one line between each paragraph. DO NOT INDENT PARAGRAPHS!! Each paragraph should be five to seven sentences. paragraph 1: your reason for writing Are you writing to commend or complain?

The Body continued paragraph 2: the reasons you are happy/unhappy with the product. How you were affected (positively or negatively) paragraph 3: Give solutions you have for fixing the problem. If you are happy with the product, give appreciation again, and offer suggestions for improvements.

The Closing (skip two lines below the third body paragraph) This is the polite ending to your letter. Capitalize only the first word of your closing. Add a comma after the closing Example) Sincerely, Yours truly, or Respectfully yours

The Signature This is your first and last name. Sign (this means cursive) your name below the closing. Then print your name neatly just below your signature.
