Types of PDFs PDF Tags (and why everyone talks about them) Creating Tagged PDFs Reading Order and other Formats Ensuring PDF Security & Accessibility Resources

Image Only PDF Scanned image, no actual text content; Requires OCR for any functionality Searchable PDF Contains text content, but not tagged Tagged PDF Contains a document structure

Tags provide structure to a PDF document Structure can control reading order Tags improve PDF Form accessibility, language definition, etc.

Software Necessary MS Office 2000 & later (for Windows) Adobe Acrobat 5, 6, 7, 8, 9 Can also use Save As PDF plug-in with Office 2007 Other applications (Open Office, Word Perfect) can also support accessible PDF creation Sample Workflow for MS Word Create your content Use Styles and Formatting options to designate headings Use Word tools for layout (e.g., Column tool) Add appropriate alternative text for images

Creating the PDF Document from MS Word Using Styles and Formatting Adding Text Descriptions Specifying Table Headers

Save the PDF as Text (Accessible) or Plain Text Check for incorrect reading order Text (Accessible) will display alternative text information, Tool Tips from forms Review the zones on the PDF document Watch for: multiple columns text boxes Figures labeled as Tables

Adobe Acrobat 5.x, 6.x, 7.x and 8 allow for access and security Can restrict document printing, copy/paste functionality, form field completion, etc. Open the Document Properties (Ctrl+D) to change the Security Method For best compatibility and security, choose Acrobat 5.0 and later
