4 Terms Used in This Lesson Document template – Determines the basic structure for a document and contains document settings. Contains settings that are available only to documents based on that template. Global template – A template that is available for all documents, not just the active document and not just documents based on the active template. Macro – Commands and instructions grouped together as a single command to complete a task automatically. Normal template – Word’s default global template.

5 Personal Template Because you may share a computer with students in other classes, you will create an individual personal template in which to store the macros you create in this lesson. You will attach this personal template to the document in which you will create the macros. To run the macros, your personal template must be attached to the current document.

6 Just in case... Turn on this option. This option will prevent you from accidentally changing the Normal template, and it will remind you to save changes to your personal template. Save all work to your “R” drive or a Flash drive.

7 Customizing Toolbars Add and remove buttons. – Built in commands – Assign Marcos – Fronts – Styles – AutoText entries Create a custom menu. – Open the Tools menu click Customize

8 Record a Macro Plan the steps. You can use the mouse to choose commands and click icons. You cannot use the mouse to position an insertion point or to drag to select text. Stop RecordingPause Recording

9 Run a Macro Macros sometimes contain computer viruses. Security levels protect against the viruses by disabling macros or by displaying warnings.

10 Create a Toolbar Button to Run a Macro Click Toolbar on the Record New Macro dialog box then click the Commands tab.

11 Edit a Macro Macros instructions are stored in a programming language called Visual Basic.

12 The Organizer Use the Organizer for Coping, Renaming, and Deleting a Macro. Open the Tools menu, Choose Macro, then click Macro Project Items.

13 Customizing the AutoCorrect Feature You can use AutoCorrect to insert text that you use over and over again. Examples: Your Initials to Full Name Misspelled words to correct spelling Do not correct a certain word or spelling

14 Creating a Custom Dictionary You can create several directories. Examples: 1. Legal terms 2. Medical terms 3. Engineering terms Open the Tools menu, choose Options, and click Spelling and Grammar tab.

15 Time Saver You can customize your toolbars so that you can access your favorite documents quickly. Tool Menu Customize Commands tab

16 Summary There are two basic types of templates: global templates and document templates. To run a macro saved in your personal template, your personal template must be attached to the document. You can customize toolbars with buttons and menus that you frequently use.

17 Summary (cont.) A macro is a sequence of actions required to complete a task. Word enforces a security level for running macros. Depending on the security level, you may need to enable macros when you open a document.

18 Summary (cont.) When you create a macro, you can assign a shortcut key or create a new toolbar button and add it to a toolbar. To change a macro, you either re-record it or edit it in the Microsoft Visual Basic Editor. The Organizer enables you to copy and rename macros.

19 Summary (cont.) You can delete macros that you create. AutoCorrect entries save you time. You can create a custom dictionary to store terms that are not in the main dictionary.
