Federal Program Monitoring A Survivor’s Guide Presented by Lois Shaffer Director of Curriculum and Instruction / Interim Director of Special Services June 6, 2014

Funding Federal State General Supplement, Not Supplement

What helped most:  Attending the FPM Training  Hearing from the reviewers themselves  Getting an understanding of the requirements  Getting helpful ideas on clearing items  Becoming familiar with the CAIS system  Viewing the CAIS webinar  Becoming familiar with the monitored items

What helped most:  Starting early  Time to take items to School Site Councils, Board of Trustees  Time to collect or create required items  Response time from reviewer  Tracking success; it feels so good!!!

What helped most:  Developing working relationships with others  Site administration  Fiscal services department  Your FPM reviewers  Phone conversations- the reviewers really are helpful!  Yo ur assistant!

What I should have done differently:  Start on all monitored sections, instead of one at a time  Follow up with delegated “assignments” more often

Notifications of findings  Reviewer posts that the item does not meet requirements  The reviewer explains what must occur to clear the item  45 day timeline (calendar days)  Extension of 180 days can be requested

The results (THEN vs. now)  2011  Uniform Complaint Procedures 1 finding  English Learner 13 findings  Career Technical Education No findings  Compensatory Education 17 findings  Total 31 findings

The results (then vs. NOW)  2014  Uniform Complaint Procedures No findings  Physical Education No findings  English Learner 1 finding  Fiscal Monitoring No findings  Compensatory Education 1 finding  Total 2 findings

How we are clearing those two items:  Both items involve the School Site Council updating their SPSA to show the SSC knew of additional funding  One item also includes bringing the updates SPSA to the Board of Trustees for approval  We will be requesting an extension of the due date to the fall  New SSC members chosen (September)  Updated SPSA approved at SSC meeting (October)  Updated SPSA approved at Board of Trustees meeting (December)
