Election Day Minute-by-Minute Overview

What Are we talking about? Election Day is filled with hundreds of moving parts A successful E-Day has document that outlines the minute by minute actions you will need to execute. You should start writing this document now and plan for ongoing revisions. If five syllables are too many, you can refer to the Minute-by-Minute by it’s nick name, the Tick-Tock.

Tick Tock Example 3:00 PM Bellwether Report 2 4:00 PM Shift 3 Begins 4:45 AM Wake Up Calls to SL leads 5:30 AM Arrive at Staging Location 7:00 AM Polls Open! 9:00 AM First shifts begin 10:00 AM Canvass Captains Report 1 10:15 AM Phone Bank Captains Report 1 11:00 AM Bellwether Report 1 1:00 PM Second Shifts Begin 2:00 PM Canvass Captain Report 2 2:15 PM Phone Bank Captain Report 2 3:00 PM Bellwether Report 2 4:00 PM Shift 3 Begins

Tick Tock (Continued) 4:15 PM Canvass Captain Report 3 4:30 PM Phone Bank Captain Report 3 5:00 PM Final Bellwether Report 6:00 PM Final Push (everyone to the doors) 6:45 PM Line Captains Assemble 7:00 PM Polls Close (line captains assemble remain at polls).

Creating a Tick Tock First rule: Trust your experience What has worked in the past? What are the 2-3 mistakes from past Edays that you have learned from? Write down everything you know List out the times your canvass, phone and visibility shifts etc start Work backwards from polls closing. When Should staging locations be open? What reporting times make sense? Reporting numbers and bellweather reporting often must be at different times. Work Chain of Command into the schedule. Be Honest The Tick Tock shows how serious GOTV is, it should be a bit scary!

What do you think should go into the Tick-Tock? Brain Storm: your past knowledge What do you think should go into the Tick-Tock? (AKA what do you want to remember to do.) Wake up calls Shift Times (Canvass, Phone, Visibility) (Paid, volunteer, other) Levels of management (Captains, Organizers, Regionals) Polls (Open, Close, Updates) Lit Drops (Late night, Early Morning) Data entry Food Deliveries Election night party (Who should/can be where when?)

What Do you know? . Start with your volunteer/paid voter contact shifts

Election Day Morning

You and your team need to wake up on Election Day Election Day Morning You and your team need to wake up on Election Day Alarm Clocks are Great Many Phones have Alarm Clocks on them On E-Day combine all technology with a phone tree

Election Day Morning Plan to practice the phone tree Phone Tree Visual You Regional Organizer Your Friend Phone Tree Visual (Assign a Fried or colleague to call YOU too.) Plan to practice the phone tree

Other e-day organizing tools

Other e-day organizing tools The Tick Tock is a best practice that keeps the GOTV Train Moving on time Other vital details to think about are: Plan to ensure your team is awake Office Set Up Multiple copies of everything Having a plan for post E-Day office clean up

Office/Staging Location Set Up

Office/Staging Location Set Up Factory Model. Remove all unnecessary comfort. Remove all unnecessary clutter Separate types of labor as much as possible (ie Phones, Canvass, Visibility). Have a bullpen and a question area. Is there internet access? Is there Cell Phone Reception? If the answer is yes, still find a plan B and plan C. Make your location a safe and secure space. Have a physical blocker with a greeter at the entrance of your location Keep packets and lists in a safe and secure place until distribution

Best Practice: Secure office

Best Practice: Multiple Copies Best practice is to have at least 3 copies of canvass and call lists One copy to be used One copy to be used for substitutions if needed One copy to be held in a secure location in the event of total disaster. (Even/especially if you’re using MiniVAN, plan to have paper copies just in case.)

Best Practice: Day after Clean Up Plan an office clean with your staff for the next day. Everyone always wakes up early the day after Win or lose, no one wants to be stuck in the office days later This is the last part of GOTV: The Clean Up Include it at the end of your GOTV Plan like anything else Include it at the end of the Tick Tock
