Why Digitize? Deterioration of printed materials Deterioration of printed materials Obsolescence of source devices (for audio and moving images) Obsolescence of source devices (for audio and moving images) Content unlocked from a fragile storage and delivery format Content unlocked from a fragile storage and delivery format More convenient to deliver More convenient to deliver More easily accessible to users More easily accessible to users Do not depend on source device for access Do not depend on source device for access Media has a limited life span Media has a limited life span Digitization limits the use and handling of originals - Preservation Digitization limits the use and handling of originals - Preservation

Why Digitize? Digitized items more easy to handle and manipulate Digitized items more easy to handle and manipulate Digital content can be copied without loss Digital content can be copied without loss Can be delivered to the outreach – e.g. Internet Can be delivered to the outreach – e.g. Internet Can add metadata – indexing, allows enhanced searching.. Planning What are your aims and needs? What are your aims and needs? What do your users needs? What do your users needs? What does administration want? What does administration want? Distinguish between these needs, prioritize them, and create a plan. Distinguish between these needs, prioritize them, and create a plan.

Developing Know your collection What do you want to scan? Will you be selecting specific items – what’s your criteria? Conditions of originals Copyright status Items in demand Need estimated numbers ( 150,000 pgs ) Ensure you have the required support and resources (e.g. staff, skills, equipment and funds) Conduct a small pilot study to test your workflow and settings Budget estimates

Implementing Requirements Computer (writing facilities) Scanner Software (OCR, photo editor, Greenstone software, etc.) Storage Schedule No. of hrs of work Skilled Staff Dissemination and Distribution A budget to finance and sustain digitization projects

Digital collections platforms Content DM (vendor) Greenstone, Kete, Omeka, Scribblio (open source) Repository platforms: DSpace, Eprints (open source)

MIH Digital Library 1.0 Research studies – reports in full text NCD guidelines Statistics Summaries of Local health reports (winisis) Available resources Hardware Software – gsdl, adobe acrobat, readiris staff New collections – health reports since 1934, medical video - vhs

Creation and management of digital materials Sources of material to digitize Sources of material to digitize Copyright and Access issues Copyright and Access issues Metadata standard overview Metadata standard overview

Sources of material to digitize Maps Plans Manuscripts Plain text Drawings Paintings Photographs Negatives Transparencies Slides Charts & Graphs Web pages

Copyright & Access issues Check the copyright to make sure there are no restrictions on digitizing the documents and making them available in a digital library. If there are restrictions, you should obtain the necessary permissions before scanning the documents. Remember that: government documents are increasingly being copyrighted; commercially published documents are almost always copyrighted; and even if there is no © symbol in the document, it may still be copyrighted. Check Imark CD for further information about copyright treaties

Metadata Metadata are data about data Structured data that provide a short summary about any information resource, print pr electronic and facilitate the location and identification of that resource Provide data about the content (e.g. subject terms, titles..) or the context (author, date, place..) of an information resource

Why do we need metadata? Used to differentiate one object from another Allowing resources to be found by relevant criteria Identifying resources Bringing similar resources together Facilitating interoperability Federated searching across collections Allows for sharing and transfer of data Metadata is key to ensuring that resources will survive and continue to be accessible into the future

Dublin Core Simple Dublin Core Set Title Creator Subject Description Publisher Source Language Relation Coverage Rights Contributor Date Type Format Identifier

Digital Library(DL) project Start planning your digital library project… Know what you want to end with.. Establish the size of the DL Budget – afford for equipment and staff Period you want to cover (e.g. 5 yrs) Requirement – checklist

Checklist

Implementation Establish a project team Set up an IT infrastructure Procure and install the DL software Finalize policies and specifications Set up you collection Setup and manage the digitization workflow Develop your DL Dissemination

Infrastructure Optical devices Network Intranet Internet LAN Software Linux – open source, cheaper, Windows – stand alone Windows server Experts…literature available on Internet

Strategies Financial Organisational Technical Legal Outsource Share your DL

Skills You are the expert…codes available on Internet Should have an inquisitive mind Look for born digital documents You can limit your DL - 5yrs
