AIMS AND REQUIREMENTS To know how to make local and international calls; To grasp how to make an appointment with your client; To master the usual expressions concerned.

Ⅰ. Useful expressions A. making phone calls 1. Yang Ming is here. / This is Yang Ming. / Yang Ming is speaking. 2. Can I help you? 3. May I speak to Mr. Jones, your deputy director? / I’d like to speak to … 4. Hold the line please. I’ll see if he’s available. 5. I’m sorry he’s not in at the moment. 6. Would you leave a message or call back later?

B. making an appointment 1. If you are free/available on … our manager would like to invite you to a dinner. 2. I’d like to meet you sometime this week, would tomorrow be convenient for you? 3. I wonder if we could arrange a meeting for sometime this week? 4. There is nothing scheduled before lunch. 5. Anytime tomorrow would suit me. 6. Then, let’s make it nine o’clock tomorrow morning.

C. postponing an appointment 1. I wonder if our meeting tomorrow could be put back a day or so. 2. Would it be possible to postpone our meeting until Wednesday? 3. Will it be possible to put off our meeting until Oct. 1? 4. Mr. Yang asked me to tell you that he was very sorry. He won’t be able to keep his appointment with you on Wednesday as he has been suddenly called away on urgent business.

Ⅱ. Dialogue International Calls In Yang Ming’s office, his secretary receives a long distance call from Mr. Stephen Jones in the U.K. Mr. Joes is calling to tell Mr. Yang about his travel pans and ask him to book a room for him, preferably at the China World Hotel.

S: There is an international call for you, Mr. Yang. Y: Thank you, Linda. (pick up the receiver ) Hello, Yang Ming here. J: Hello, Mr. Yang. This is Stephen Jones. I just wanted to let you know that I’m booked on British Airways Flight BA 109 arriving in Beijng on Sunday morning around 9 o’clock your time. Y: That’s splendid. J: I’ll be staying in Beijing for a week. Could you book a room for me, preferably at the China World Hotel? Y: Yes, with pleasure. I’ll call you as soon as the booking is confirmed. J: Thank you very much. Goodbye for now. Y: Goodbye, Mr. Jones. (receiver replaced) After speaking with Mr. Jones, Mr. Yang makes some

hotel arrangements for him and decides to give him a call back. (Yang dials) S: International Trading. Can I help you? Y: May I speak to Mr. Jones, your deputy director? S: Who’s calling, please? Y: This is Yang Ming of CNIEC, Beijing. S: Hold the line, please.Mr. Jones, there is a call for you from Mr. Yang in Beijing. J: Hello, Mr. Yang. Y: Hello, Mr. Jones. I have booked a single room for you at the China World Hotel. J: That’s very nice. I really appreciated that. Y: It’s my pleasure. I’ll meet you at the airport. J: That is very kind of you. Y: Goodbye, Mr. Jones. Have a pleasant journey. J: Goodbye and thank you.

On arrival in Beijng Mr. Jones being to arrange a series of meetings, but when he calls Liu Lan of CNIEC, He is told that she is not in the office. W: CNIEC. Wang Ting speaking. J: Good morning, Miss Wang. This is Stephen Jones from international Trading. I’d like to speak to Ms. Liu Lan, please. W: I’m sorry she is not in at the moment. Would you like to live a message or would you like to call back later? J: Could you ask her to call me at the China World Hotel, Room 1204? W: Certainly, Mr. Jones. China World Hotel, Room J: That’s right. Thank you, Miss Wang. An hour later, Liu Lan is back from a meeting. She gets the message that Mr. Jones has called and so she returns the call. On the first attempt she finds Mr. Jones’s line engaged, but on the second attempt she gets through…

Making an Appointment Yang Ming knows that Mr. Kent is in town and asks his secretary Lin Da to make an appointment for him. Lin Da gets through with no problem and Mr. Kent agrees to the meeting. (At Mr. Yang’s office )

Yang Ming: I’d like to see Mr. Kent on Tuesday afternoon. Would you phone him at the hotel, Room 608, and ask him if he is free to come at 3:00? L: Certainly, Mr. Yang. (Dials) O: China World Hotel. May I help you? L: Good morning. Would you put me through to Mr. Kent, Room 608, please? K: (Picks up the receiver.) John Kent here. L: Good morning Mr. Kent. This is Lin Da, Mr. Yang would like to see you on Tuesday after noon. Could you come at 3:00? K: Tuesday at 3:00? Yes, I think I can manage that, Please tell Mr. Yang I’ll be there. L: Thank you, Mr. Kent. (Receiver replaced, To Yang) Mr. Yang, Mr. Kent will be there at 3:00 on Tuesday as you asked. Y: Thank you, Lin Da.

Ⅲ. Topics for classroom discussion (1) In your opinion, what are the differences between local call and international call? (2) Do you think it is very important to keep your appointment with others?

Ⅳ. Communicative tasks Work with your partners to create your own dialogue with the situation and tips given below. Task 1 Situation: Suppose you are going to hold a party at weekend, so you phone all your friends to come. Some can come, but the others can’t, for various reasons. Role play these phone conversations.

Task 2 Situation Student A is a secretary from ABC company, who is asked to take Mr. Martin, a customer from America, to go for a tour around the city. Mr. Martin has only one day free. You’re going to talk to him to work out a schedule.
