DBTI Batch ‘81 Homecoming DBTI Batch ‘81 Homecoming Steering Committee Set-Up

Steering Committee Provides Over-all Direction for all Homecoming Events and Activities  Identification of all major events Venue, budget, dates, program details Set-up, Management and Supervision of all Working Committees  Includes committee responsibilities, function and structure Process, System, SOPS formulation  Guidelines, forms, timelines, etc.

Steering Committee Management of Finances  Manages all collected funds Individual / corporate contributions, collections from projects  Payment of suppliers, venue, etc. Approval of all sub-projects  Mechanics  Funding, etc.

Steering Committee Coordination of all sub-committee projects  Activities, timing, venue Coordination with Alumni Officers / DBTI representatives Conflict resolution  Final say on all issues

Steering Committee Composition Steering Committee Chairperson  Over-all Direction, presides over committee meetings Working Committee Vice-Chairpersons (also the Working Committee Heads)  Finance/Collections  Program and Events  Logistics  Special Projects  Public Relations/Marketing Class Representatives – 2/3 per class (from 4-21 to 4-25)

Responsibilities

Steering Committee Chairperson Provides over-all guidance to all steering committee members on all activities Presides over the Steering Committee meetings  Agenda, venue, time/date Coordination with Alumni Officers / DBTI representatives

Vice-Chairperson (Finance/Collections) Financial Comptroller Manages and Monitors financial activities  Collections  Payables

Vice-Chairperson (Program and Events) Manages the Program and Events Committee  Coordinates all activities of the committee  Proposes all major events and activities Concept, venue, budget, schedules  Directs all programs and events Homecoming Entertainment Homecoming Program Other Homecoming Activities

Vice-Chairperson (Logistics ) Coordinates venue of all major events  Venue arrangements, stage/backdrop, etc. Coordinates with suppliers on all logistics needs of the Steering Committee  Posters, billboards, awards (trophies, certificates, etc )  Food and Drinks

Vice-Chairperson (Special Projects) Proposes special projects for fund raising – to the steering committee Coordinates with the Finance Co-chair, to develop a plan to collect revenue from the projects Coordinates all activities of all sub-committees on special projects

Vice-Chairperson (Public Relations/Marketing) Ensures dissemination of information to all alumni (all activities including special projects and major events ) Ensures attendance of targeted audience for all major events  Number of pax Spokesperson for the Steering Committee

Class Representatives 2-3 reps per class (from 4-21 to 4-25) Represents section in all steering committee meetings Compose the section sub-committees

Class Representatives  Class Officer-in-charge Acts as the class chairman and reports to the steering committee  Finance-in-charge Suggests most efficient manner of collecting personal contributions/donations In charge of collecting personal donations/contributions  Communications-in-charge Solicits suggestions from class members Coordinates with the class OIC re: suggestions/issues raised and other concerns Manages communication process to all class members

Class Officer-in-Charge Represents section in all steering committee meetings Heads the class sub-committee  In coordination with the Vice-chair for Public Relations and Marketing, cascades minutes of the Steering committee meetings directly to class members ( within 48 hours after meeting )  Manages all activities of class sub-committees  Reports collections (on personal contributions) progress to the Steering Committee  Manages, with the help of the Class Finance-in-charge collection activities for all personal donations of all class members  With the help of the Class Communications-in-charge, solicits/organizes suggestions from class members on proposed activities/ideas and reports them to the steering committee

Committee Rules Established – to guide the conduct of meetings and interactions Quorum – at least 6 Committee members present Agreements – 50% + 1 of those present Conflict/Issues Resolution:  Committee will ask those in conflict to resolve issue themselves up to 1 week  If no resolution, Committee takes over and decides based on agreement rule  If still no resolution, Chairman will have the final say – no appeal For proper protocol, suggestions pertaining to an area should be coursed through the Working Committee Head

Next Steps All Committee Members will make their own schedule of activities – using the Activity Tracking Chart (excel format) Committee Heads will present their plans on the next meeting – Aug. 14, 3:00 pm, Don Bosco Makati
