Auto Expense Report © 2014 Total System Services, Inc. ® All rights reserved worldwide. 2 When the company cycle date has passed and a transaction was imported into CentreSuite, an expense report will be created for that account. Only one expense report will be created automatically each cycle for each account that has transaction activity. The expense report name will be the date of cycle, month, year, name on account, and the last four digits of the card number…for example 15 May 2014 John Doe The user will NOT be able to change the name of the expense report or change the date range for the transactions search. The expense report history will list System Record as the originator of the expense report and the expense report will have a status of “Incomplete” initially.

Auto Expense Report – Unassigned Expense Reports © 2014 Total System Services, Inc. ® All rights reserved worldwide. 3 Then, if the cardholder enters in required information and saves the report, the status will change to “Unsubmitted”. Any subsequent transactions will continually be added to the expense report until the cycle ends. When the expense report has been automatically created, the automatic expense report will appear in the user’s list of expense reports, but the expense report will be “Unassigned”. The user can the highlight the expense report and “Take Ownership” by clicking the Take Ownership button.

5 The expense report cannot be submitted until after the end of the cycle to ensure ALL transactions are accounted for in the expense reports. The Submit button will be greyed out and not available until after the cycle has completed. The cardholder will be able to work within the expense report during the cycle, but the submit button will not be available. Users will be able to split, allocate, and enter descriptions throughout the cycle. Auto Expense Report

Old Expense Reports © 2014 Total System Services, Inc. ® All rights reserved worldwide. 6 Remember Expense Reports which have outstanding transactions before the activation of this feature must be finished thru the old process of manually creating the Expense Report, attaching transactions, etc. This would apply to transactions for the Month of July (7/1-7/31) The new Auto Creation process will begin for August postings (8/1-8/31)
