Exporting Data to Other Applications 9 Exporting Excel data to other formats Using Excel data in Word Using Excel data in PowerPoint Sending Excel documents to SharePoint and retrieving them from SharePoint Stations Along the Way

Why Export Data? You can save and use Excel data and charts in other formats, such as: Word, PowerPoint, older Excel versions Text or CSV Web pages You can export data to save time and avoid having to retype the data To use Excel data in older programs, save data in a format that the program can understand (often.txt or.csv)

Using Excel Data in Word Create a Word report using Excel data Copy Excel data to the Clipboard Paste or Paste Link the data in Word Use Excel contact information in a Word mail merge Start the mail merge in Word Specify Excel file with contact information as the data source during the mail merge

Using Excel Data in PowerPoint Excel data is often used to create charts in PowerPoint Create the chart in Excel Copy the Excel chart to the Clipboard Paste or Paste Link the chart in a PowerPoint slide Copy Excel data and paste it as a table in PowerPoint

Using Excel Data with SharePoint SharePoint enables you to create discussion areas, document storage areas, and Web sites for your team Helps with team collaboration and communication Requires a separate server Typically is set up by an IT department

Accessing a SharePoint Site Information you need for access: URL for the site Your personal ID or username Your password Use Site Actions button to add and edit pages in the SharePoint site Use the links on the left side of the SharePoint page to navigate the site

Creating a Document Library on a SharePoint Site SharePoint stores documents in a document library for easy access Ensures that everyone is using the same version of a document Can contain many types of documents Lets you notify others when a document changes Lets you to create a library with Site Actions

Uploading Excel Documents to SharePoint In SharePoint, use the Upload feature in the document library Upload a single document Upload multiple documents at one time In Excel, open the document and use the publishing options to publish the document to SharePoint

Using Documents in the SharePoint Library Retrieve a copy of an Excel document from the library to look at or use for research Can be done using SharePoint or Excel Retrieving within SharePoint is easiest Check out an Excel document from the library to make changes to it Can be done using SharePoint or Excel Ensures only one person at a time can make changes Ensures changes are made to most recent version
