Microsoft Word Process Manuel for Three Basic Functions: Font, Alignment, Line Spacing By Mike Duncan December 2005 For Ms. Linda Harris

Introduction Microsoft Word => Industry standard for word processing All students benefit from understanding MS Word 3 basic functions to efficiently use Word – Font – Alignment – Line Spacing

Font Type MS Word contains a diverse mixture of fonts – Serif, Sans Serif, Cursive, Fantasy, Monospace Sans Serif vs. Serif Use Fonts properly – Readability – Style – Clarity

Modifying Font Using the Menu Bar Highlight desired text to be modified Select Format > Font from the menu bar Select the Font tab Select the desired font Click OK

Modifying Font Using the Formatting Toolbar Highlight desired text to have font modified. On the formatting toolbar, open the pull down menu by clicking the down-arrow to the right of the currently selected font type. Click the desired font. The menu displays the most frequently used fonts at the top, a black line (used to clearly separate), and then a list of all fonts in alphabetical order.

Alignment Left Justified – Text is aligned on the left side Right Justified – Text is aligned on the right side Centered – Text is centered in between the left and right margins Justified – Text is flush on both sides

Setting Alignment Using the Menu Bar Highlight the text to be modified. Select Format > Paragraph from the menu bar. Select the Indents and Spacing tab (this may already be selected). Underneath the alignment field, click the down- arrow to open the pull down menu. Select either left, centered, right, or justified. Click OK to finalize the alignment.

Setting Alignment Using Keys Highlight the text to be modified. Press either Ctrl+l to left align the text, Ctrl+r to right align the text, Ctrl+e to center the text, or Ctrl+j to justify the text.

Setting Alignment Using the Toolbar Highlight the text to be modified. On the toolbar, click either the left alignment icon (picture), the right alignment icon (picture), the center alignment icon (picture), or the justified icon (picture) to format the text accordingly.

Line Spacing Sets the number of lines between text in a paragraph The default setting of single spacing is appropriate for fitting the most text on the least amount of paper Using line spacing of 1.5 or double spacing is more appropriate for web pages – The extra white space is less intimidating to readers and easier on the eyes

Modifying Line Spacing Highlight the text to be formatted. Select Format > Paragraph from the menu bar. Select the Indents and Spacing tab (It may already be selected). Underneath the Line Spacing field, click on the down-arrow to open the pull down menu. Click on the desired line spacing. Click OK to finalize the line spacing.
