STEPS TO SUCCESSFUL IMPLEMENTATION Review i-learning modules – MEPRS personnel need to understand how DMHRSi operates in order to participate in pre-implementation planning Prepare task list Review the role of the timecard approver – understanding this role is essential to controlling timecard entry Coordinate with Human Resources to ensure they have a current and up to date listing of all personnel to include contractors/volunteers

STEPS TO SUCCESSFUL IMPLEMENTION CONTINUED Prepare a task list for each department showing which task numbers their staff should use when entering man-hours Develop helpful hints with questions and answers for timecard entry Any documents that are currently being used for timecard entry should be translated into DMHRSi language

MEPRS STAFF WILL BE OVERWHELMED WITHOUT THE HELP OF TIMECARD APPROVERS

WHAT IS THE NUMBER ONE ISSUE WITH DMHRSi? ANSWER: Getting staff members to enter their own time using a DMHRSi timecard QUESTION: What can the MEPRS staff do? ANSWER: Ensure the timecard approvers are properly trained

ROLE OF THE TIMECARD APPROVER Tracking missing timecards Provide assistance with timecard entry Timecard approvers are the super users for timecard entry

TRANSLATE YOUR MEPRS DATA INTO DMHRSI LANGUAGE

LESSONS LEARNED

Command support is critical Project must have site Human Resources (HR) support a. Site must have defined rules for inprocessing and outprocessing all employee types b. HR must be fully trained and actively involved c. HR data must be validated/corrected prior to the start of timecard entry

Passwords must be requested and distributed promptly. Employees must sign on and activate their password immediately Training a. Trainers must understand service functional terms and processes b. Training material must be organized d. A representative from the facility MEPRS staff must be present at all self- service training sessions to answer functional coding questions

More time needs to be spent training timecard approvers Monitoring and control of timecard entry is critical Only MEPRS staff members can answer coding question
