Roles and Organization How to assign responsibility.

Tonight's Objectives Before we start scheduling work, we need to consider who is responsible for what. We will also look very briefly at how psychology affects how work is performed. Other Big Topics: how to document responsibility how organizations are structured

The Right Person Hire for trait. Train for skill. More likely to learn a new skill than change their personality. Ability to learn is essential anyway. > psyc staffing plan organization

Startup Time A new hire is unlikely to hit the ground running at full speed. Startup time is dependant on their source  from within our company  new to our company Startup time is usually not included in effort estimates > psyc staffing plan organization

Myers-Briggs Type Indicator Extravert (E)Introvert (I) Sensing (S)Intuitive (N) Thinking (T)Feeling (F) Perceiving (P)Judging (J) > psyc staffing plan organization

McFletcher Personal Stress caused by Job Requirements ≠ Responsibility leads to Low Productivity, Apathy, … Organizational Stress caused by too many activities leads to Poor Quality, missed deadlines > psyc staffing plan organization

McFletcher WorkStyle Patterns Inventory WorkStyle Patterns™ (WSP™) Alignment is a conceptual framework that offers a common language to discuss and design work, which makes it possible to fulfill the performance needs of both the organization and its employees. It moves beyond the “what” of work to the crucial “how” to accomplish work. The McFletcher Corporation introduced the concept and practice of Work Alignment, developing the WorkStyle Patterns™ (WSP™) Inventories in 1979, to assess how work activities compare with people’s preferred ways of working. More than 100,000 employees and employers worldwide have completed our self-scoring assessments since its introduction. > psyc staffing plan organization

Project Staffing Management Plan Definition The Staffing Plan defines the required human resources needed to deliver the desired project deliverables. It involves the selection and assignment of a Project Team. The Staffing Plan must provide the appropriate skill sets to manage the project and to perform the tasks that produce the specified project deliverables. It also needs to provide for any additional non-labor resources such as tools, equipment, or processes used by the project team. Why is this important? It's important for a project to accomplish its objectives as efficiently as possible. This requires a project manager to skillfully allocate resources. Once a project's scope is defined, the management decisions relating to project resource assignments usually are the single most important factor in ensuring a project's ultimate successful outcome. psyc > staffing plan organization

Role Characteristics Responsibility Obligation to perform activity Authority Right to make decision Accountability Reliability psyc > staffing plan organization

Responsibility Assignment Matrix psyc > staffing plan organization

Responsibility Assignment Matrix Usual format is a spreadsheet. Cells indicate  A = Approve  R = Review  I = Input  … psyc > staffing plan organization

Organization Structures Functional - “Traditional” Advantages Clearly defined authority No duplication Disadvantages No lateral connections Specialized tasks don’t fit in psyc staffing plan > organization

Organization Structures Matrix Organization Advantages Integration across lines Disadvantages Troops report to two generals psyc staffing plan > organization

Organization Structures Divisional Example = General Motors Allows specialization, but tasks are duplicated. Project-Based psyc staffing plan > organization

Summary A successful project requires 1.quality people this is obvious 2.effective use of individuals this is difficult psyc staffing plan organization
