Agence Education Formation-Europe Tips for a good application

Application form -To be written jointly by all partners (the coordinator collects all the information), -Joint for all partners (except sections 1.2 and 4), -To be written in the partnership’s language, -Each partner sends his application form to his National Agency.

Application form It consists of : -Different information about each partner -Description of projects (objectives, results, outcome) -Work programme (stages and mobilities) -Table of results and expected products -Financial table (= claim for subvention)

General advice -Be CLEAR, CONSISE and CONCRETE -Nothing can be implicit ! -Use the official application form available on the National Agencies’ webpages -Try to be coherent considering objectives, work programme, mobilities and final product -All partners should work together on the application. -Importance of evaluation, dissemination and valorisation.

Description of project -Summary -Context and motivation -Objectives -Distribution of tasks -Cooperation and communication -European added value -Evaluation -Active participation -Dissemination and use of results -Work programme -Expected results and final product/outcome -Mobility and subvention

SUMMARY !! Important -The summary of the partnership is the ID of the project and is the first impression the evaluators will get -It is necessary to be clear/precise and explicit!! Not too long (max 200 words) -It has to be well-structured and reflect the whole project: context, needs, objectives, target group, results, evaluation, impact -To remain coherent: write it at the end

CONTEXT AND MOTIVATION Explain the general context in which the project will take place for each partner (target group, requirements): -Why implement this project? What is its purpose? -What are the participants expecting from this European cooperation?

OBJECTIVES -Objectives directly connected with the Leonardo programme and the 2009 Call. Identify the meaning of the project -Concrete, realistic et measurable objectives -Explain which theme/problem will be dealt with. -Outline the adopted approach to achieve these objectives. -Different types of objectives: educational, pedagogical,…

DISTRIBUTION OF TASKS -Present the partnership in terms of complementarity: expertise, necessary competences and experiences to handle the project efficiently. -Divide the project into sub-objectives: for everyone, define precisely the distribution of tasks within the partnership (ex. project management, products/outcome, evaluation, valorisation,...) -Show the participation of all the partners is well-balanced. -According to each partner’s specificity (competences, available means)

COOPERATION AND COMMUNICATION -What to communicate about? Progress of the project, next stages, meeting reports,... -How to exchange the information between all partners? ( , newsletters, webpage, meetings, reports,…) -Mention the working language(s) of the partnership and how to make sure that non-natives will be able to participate actively. -Linguistic preparation for teachers and students.

EUROPEAN ADDED VALUE -What added value do you expect from the participation in a European project for the institution and its members? -What impact do you expect on participants (staff and learners), their involvement in national and transnational meetings?

EVALUATION -Specify the way of evaluation (internal or external), -Specify the domains of evaluation: satisfaction of beneficiaries, partnership management, results/outcomes. -Schedule 2 phases of evaluation: During the project : take some time to analyse the current situation to start again more efficiently At the end of the project: to identify the positive and negative points.

ACTIVE INVOLVEMENT -How will the organisation’s learners and staff be involved in all the stages of the project? -How will the project be integrated into the organisation’s ordinary activities and what will be its added value? -How will learners, who are not directly involved in the project, benefit from its results?

DISSEMINATION AND USE OF RESULTS Guarantee the use of expected results Identification of the target group How to ensure the dissemination (technical means, human and financial resources) What (kind of) dissemination: -in participating organisations, -in the local communities, -in a larger scope (other institutions, press, local or national authorities,…)

WORK PROGRAMME -Describe planned activities and mobilities -Cover the 2 years of the project -Be realistic -Respect a balanced distribution of tasks and remain in line with the project’s objectives. -Include evaluation and valorisation activities

EXPECTED RESULTS AND FINAL PRODUCT/OUTCOME -Describe expected products and results precisely : type of results, form, ways of dissemination -They have to be in line with the project’s objectives -All dates you mention must be fixed within the eligibility period of the project.

MOBILITIES AND SUBVENTION = one round trip for one person who goes abroad. Lump sums depend on the minimum number of mobilities: 4 / 8 / 12 / 24 mobilities As for trainees’, respect the (European) Quality Charter for Mobility !!! National rates may differ

Submission of application -European deadline: 20th February Printed or online application form: contact your NA -Pay attention to national priorities: contact your NA

Different stages of the application -Eligibility check -Quality control by 2 experts : evaluation in the coordinator’s country. -Communication of results to beneficiary (sent) by post
