Kristin Brubaker

C LIMATE C ORPS B AY A REA 2011 T RAINING You are in the elevator with a critical stakeholder of your project idea who is getting off at the 25th story. You know the ride will take seconds to reach 25th floor. You have this time to convince the potential stakeholder and champion of the importance of your project. What will you say to make the needed impact?

C LIMATE C ORPS B AY A REA 2011 T RAINING Is there a clear reason or need? What are the clear objectives? How will you prioritize steps? Who is on the project team? Are roles clearly defined? How do you measure progress? What are the anticipated challenges? How do we prepare for challenges? “The single best payoff in terms of project success comes from having good project definition early.” - RAND CORPORATION

C LIMATE C ORPS B AY A REA 2011 T RAINING Project Start Task 1 Task 2 Project Completion ……. Actions Measurable Outcome

C LIMATE C ORPS B AY A REA 2011 T RAINING Purpose Defines project deliverables Establishes GHG reductions tracking approach Provides a framework for communicating with Site Supervisor and Regional supervisor Elements Define the Project Identify Emission Reduction Algorithm Lay out Projected and Actual Outcomes Organize Necessary Tasks Create Task Completion Dates Setup Contacts & Connections Define Resources Describe Success Indicators

C LIMATE C ORPS B AY A REA 2011 T RAINING Developing a detailed work plan Helps you plan out ahead all the different stages of your project What’s in a detailed work plan? At minimum, should contain: Task description, sub-tasks, timeline for accomplishing tasks/subtasks, and staff assignment Do any of you have a specific tool you like to use (e.g. Excel, Smartsheet, etc.)?

C LIMATE C ORPS B AY A REA 2011 T RAINING Tools Calendars Checklists Spreadsheets Google Docs Contact lists Want to learn more? C LIMATE C ORPS B AY A REA 2011 T RAINING 80/20 or the Pareto Principle, “for many events, roughly 80% of the effects come from 20% of the causes. ” Task goals vs. project goals – what’s the difference and what makes a realistic goal?

C LIMATE C ORPS B AY A REA 2011 T RAINING Break into groups of 2-3 Look at your Scopes of Service Compare the level of detail on each Make notes on gaps or areas where you need clarification Collectively address the following questions Do I know what I am going to be doing? Are my tasks clearly defined? Are the goals realistic for the scope defined?

C LIMATE C ORPS B AY A REA 2011 T RAINING Scope of Service Has to be kept current to reflect actual work Progress reports need to align with scope of service Cannot start a new project without updating scope of service Data Log You have to keep a physical binder of your data Can be a printout of an online tracking sheet Needs to be regularly updated based on your activities Your supervisor should work with you to define this data log

C LIMATE C ORPS B AY A REA 2011 T RAINING Key issues Accuracy Detail Timing What are you Measuring? Direct: Retrofits, etc. Indirect: Behavior change via outreach

C LIMATE C ORPS B AY A REA 2011 T RAINING Hard Direct resource savings Costs related to resource conservation projects Soft Quantifiable aspects of your programs that are not directly measurable For all types, a system is needed to track and provide information at any given time in the project.

C LIMATE C ORPS B AY A REA 2011 T RAINING Where, GHG = emissions (amount of CO2 or CH4, etc) A = activity data (liters of fuel, kg of cement) EF = emission factor (kg CO2/liter of fuel, kgCO2/kg cement) To reduce the value of GHG: lower the value of A decreasing frequency or magnitude of activity or emission source; lower the value of Emission factor shifting into a more efficient technology, less carbon intensive activity; or do both at the same time GHG = A x EF

C LIMATE C ORPS B AY A REA 2011 T RAINING Kilowatt-hour = kWh = 1000 Wh Megawatt-hour = MWh = 1000 kWh Joule BTU Therm Acrefoot

Forms of Soft metrics Attendance Pledge cards Information gathering tools Headcounts Distribution lists Sign-ins Surveys (pre, post) Focus groups / interviews / testimonials

C LIMATE C ORPS B AY A REA 2011 T RAINING What is a valid method? E.g. Do head counts = awareness? What is a good question? E.g. is “How much do you love the environment?” a biased question? When do you want to measure? Pre Post Time based

C LIMATE C ORPS B AY A REA 2011 T RAINING How do you know you are getting the results without breaking the bank? Sampling Follow-up surveys Site visits Contractor reporting Rebates

Get together with 1-2 other people who have computers Log into the metrics from last year Find a project that has some similarities to yours and one that is different Look at how their metrics are constructed Try to build a sample metrics calculator for your projects Answer these questions What data will you need? What assumptions will you need?

C LIMATE C ORPS B AY A REA 2011 T RAINING Have to have metrics for all projects Should try to be consistent across projects Must document the following elements Quantity of items implemented (e.g. lightbulbs, solar panels) Amount of resource conservation occuring (e.g. kwh) Conversion factors to GHG (e.g. #CO2e/kWh) Assumptions and sources used in calculations Baseline if this project was implemented last year Metrics must align with data log (e.g. what you report in your data log should carry over to metrics) We only can count project outcomes that occur during the year of service (e.g. x kwh for y months) First draft due November 29th
