3 Establishing a Vendor Relationship for Universal Waste Services  Look beyond the gloss –Perform you own site audit at the vendor’s facility –Request references that come from the vendor’s client base that is similar to your facility (size, volume generation, geographic setting, service requirements) –Request meetings with vendor’s operational staff before service starts

4 Site Audit Tips Material handling protocols, from receiving through processing to out bound shipping OSHA compliance Emergency plans and safety stations Employee training All compliance certificates, insurance documents, and operating permits on file External storage areas and equipment

5 Material Handling  Establish types of shipping containers to be used -- What is best for you? -- Can you use various types of containers? -- What is supplied at no cost and/or replaced for free? -- Request a quality standard for all containers supplied

6 Shipping Protocol  Will you be picked up on a regular truck route?  Will the same driver be used for your shipments?  What type of advance notice is needed for special pick ups?  Can shipping containers be delivered to multiple and special sites when requested?  Can the vendor notify you as their driver arrives on site (cell phone)?

7 Shipping Protocol (continued)  Does the vendor require UW labels for each container or box?  How should broken lamps be contained for shipment?  Will replacement shipping supplies be delivered during the pick up process?  Will the driver help re-package materials that are not acceptable for shipment?

8 Shipping Paperwork  Can you add additional materials to the shipment manifest form?  How will pick up inventories be given to the vendor? Does it matter?  How are shipment volumes defined (pallets, drums, units, boxes, pails)?  How are shipments reconciled back to you (pounds, linier feet, units)?  What is provided for recycling certificates?

9 Summary Make sure the vendor is credible and experienced Make sure the vendor has the operational resources to get the job done Put the burden of paperwork on the vendor Get free supplies Make sure all materials can be traced and accounted for—using a system that works for you
