Mitchell Aquatic Club Calendar Fundraiser 2010 Our Mission: Is to create, maintain and promote individual and family fitness and meaningful life skills through community based aquatic programs.

History In 2009 the Mitchell School Board voted to close the pool It is a privilege to practice in our indoor pool which is why we need you!! As a result we need to increase our fundraising to support our new facilities operating expenses.

History The goal this year is to raise at least 20,000 for operating expenses. The calendar fundraiser has been reworked this year to accommodate this amount of money. You spoke we listened. See what is different!!

Obligation Every family signs a fundraising contract starting the first season they swim with the MAC. Fundraising is an extremely important part of helping our team and our swimmers meet and exceed their potential. The ability to train consistently in a facility is a very important aspect of swimming success.

Your Responsibility New this year: Calendars were reduced to $ The board thought we could sell more with less cost per calendar. We need to focus on fundraising due to the current situation. Each family will sell 45. Last year you sold 21 - $20.00 calendars. We are really only asking you to sell $30.00 more this year. WE KNOW YOU CAN DO IT!!.

Teaching life skills by instilling a strong work ethic in a safe, fun and competitive environment. Developing aquatic skills to provide all participants the opportunities to grow and succeed to their highest level. Emphasizing team unity and family participation.

We’re a Team!! Please help your swimmer reach their highest potential by committing to our fundraising effort!!

Calendar Raffle The previous slide depicts the Calendar itself. There is a drawing Monday and Friday of the entire year for money prizes. Participants can win $15 to $ dollars throughout the year. All winners remain in future drawings during the year. Winners are posted on the MAC website and a check is mailed to them.

Getting Started Calendars will be dispersed at the parent meeting in the fall. If you are not present the calendars will be available from the coaches at practice. It is your responsibility to pick up the obtain the calendars from the coaches. Your swim team account will be billed for the balance of the calendars upfront.

Getting Started As you sell your calendars and turn in the money and entry forms on a consistent basis. The amount of money you turn in gets deducted from your fundraising balance on your bill. If you have not sold all the calendars by December 1 st then the balance left over from your unsold calendars will be due. You must have this balance paid in full by the end of the season.

Calendar Entry Form

The previous slide shows the Calendar Entry Form. Sell each Calendar for $10.00 and fill out the Calendar Entry Form. Ask the buyer about checking the box to donate money back to the team. This is a bonus for you and them. Give the Calendar to the buyer. You collect the $10.00 and keep the Calendar Entry Form. It’s as simple as that.

Filling out the Calendar Entry Form Please write neatly. We need this information to mail checks to the winners. Calendars can no longer have MAC listed as the recipient of the winnings. The money can be donated back to the team but the entry form must have a winning name listed on it. This is to ensure that it doesn’t look like our team is always winning the raffle money.

Filling out the Calendar Entry Form MAC is not eligible to win any drawings. If you buy your calendars you list your name or if you want to donate the money to the team then write in the same line “Donate money to MAC”. This is how it will appear on the website. We want to show winners’ names. This breeds community excitement and support for the raffle.

What’s Next?? Calendar Facts!! Put all your Calendar Entry Forms and money in a safe place. Do not lose the Calendar Entry Forms as they have assigned numbers so we know which family sold which calendars. Put your completed Calendar Entry Forms and collected money in the envelopes provided in your packet and turn them in at Ross Determan’s office to Carrie. His office is located at 1130 South Burr Street.

Where do I Turn Calendars In? The only place you can turn in calendar entry forms and money is at Ross Determan’s office. Do not give your money to others to turn in- you are responsible for your own entry slips and money. Please turn your money and entry slips in on a regular basis-this helps us complete the drawing database so it is ready for the January 1 st drawing.

Due Date for All Calendar Sales. The due date for all calendar sales and money to be turned is DECEMBER 1 st. This date is firm! The committee has to enter all the names into the data base and conduct the drawing which is extremely time consuming-Please be respectful of our volunteers’ time and turn your calendars in on time.

Due Date for all Calendar Sales If you have unsold calendars after December 1 st please turn in what you have left and the balance will continue on your bill as a fundraising fee. Swimmers joining after December 1 st will be assessed a fundraising fee equal to the amount of calendars expected to be sold. No calendars will be handed out after December 1 st.

What if I am Late? Even if you have not sold all your calendars by the deadline please turn in the ones you did sell. They will be entered in the drawing. If calendars are not received by December 1 st you will receive a phone call-we want to make sure you did not forget. Any calendars not received by the raffle due date will not be entered in the drawing. Once they are received and paid for they will be entered.

What if I am Late? Please review the Policy included in your packet named “Policy for Disbursement of Calendar Raffle Money”. There are significant changes to this policy and all MAC members will be responsible to be aware of the information in the policy. Any questions about the policy contact: Lori Bork or

What if I run out of Envelopes or Calendars? If you run out of envelopes use a plain envelope and mark “Calendars” and your families name on the front of it. If you sell all your calendars and need more contact Lori Bork at or She will come to the pool and give you more calendars or give them to another committee member to give to you.

Please Sell Early Please make every effort to sell more than your share. Each family must sell their calendar’s to make our financial goal so please help out. They really sell themselves, or simply hand the buyer the letter provided to you in the packet to explain why we are raising this money. Try these: Postcards are available for you to send out to inform buyers of the fundraiser so they will anticipate you contacting them.

What if I am having trouble selling? Sell quickly and early-no groups are fundraising heavy during early September. If you wait you will be competing with girl scouts, athletics, church, grade schools and, yes, the Christmas season. If your children are old enough send them door to door and let them know they are expected to help. This teaches them ownership and responsibility for their sport. (Always remember safety first in this situation!)

What if I am having trouble selling? Divide the calendars among your family. If you have a spouse or significant other let them help. Ask relatives to take a few and sell them. It makes it easier. Use your list of contacts included in your packet. If it is small due to small sales, make a list of potential buyers. Remember, relatives and friends are usually always willing to help, especially for athletics.

What if I am having trouble selling? If you are still having trouble contact the committee-chair. Lori Bork We have lists of names we can give to you of potential buyers and are committed to helping you be successful. We will help you!! DON’T PROCRASTINATE-GET OUT AND SELL!!!

What if I just want to buy them all? If you do not want to sell any and just want to buy them all you may. They are added to your bill as a fundraising fee. Please make sure you inform the committee chair so they are aware. Please make sure you fill out all the Calendar Entry forms before you turn them in. Do Not Leave them at Ross’s office not filled out!!!!

Brand New Families The fundraising policy and contract is reviewed with new families who are swimming their first season. The expectation is that they will sell 15 calendars. After the first season families are expected to then adhere to the full fundraising contract and sell 45 calendars.

BE POSITIVE-SELL EARLY!! We know you can do this. We have the best parent group in the state. Communicate with us so we can help you. All of the previous information is in your packets and is also on the Website Let’s have a great fundraising year and continue to support our pool.
