Module Enrolment Timetabling Office Academic Services Division Daniel Robinson, Timetabling Office

What is Module Enrolment? Module Enrolment is the process by which core modules are automatically attached to a student, students choose their optional modules, and those choices are recorded. The data is held on Saturn, and is also shown on the students My Modules channel on the Portal.

Why do we need Module Enrolment? Module enrolment data is used in several areas: Students – need to have the correct number of credits to complete their course Students - view module information via Portal and WebCT Schools – print class lists based on Saturn information Timetabling – schedule classes based on pre-enrolment information and module sizes Examinations – schedule exam timetables based on student enrolments PMID – allocate budgets based on student numbers

The Module Enrolment Form All data is taken from the Saturn Student Record Header information contains –Students name –Student ID –Course –Year of study All core modules are pre-printed on the form

Three Stages of Module Enrolment The Module Enrolment process has three stages Stage 1 – Module Enrolment (September/October) Stage 2 – Module Confirmation (January/February) Stage 3 – Module Pre-Enrolment (April/May)

Stage 1: Module Enrolment September - October IS run the Module Build for all student records Forms are printed off and sent to Schools Students collect their forms, make choices, and hand in to school offices Choices must be approved! Data entry completed either by School or Timetabling Office Process should be complete by mid October

Stage 2: Module Confirmation January – February Forms are printed off and sent to Schools Students collect their forms, make changes to Spring semester modules, and hand in to school offices New choices must be approved! Data entry completed either by School or Timetabling Office Process should be complete by mid February

Stage 3: Module Pre-Enrolment April - May IS run Module Build for all UG students expected to return Forms are printed off and sent to Schools Students make choices, and hand in forms to school offices Choices must be approved! Data entry completed either by School or Timetabling Office Process should be completed by mid May Data then downloaded by Timetabling Office in order to create draft student timetables

Academic Year Key Dates 4 May 2010 – Module pre-enrolment begins onto modules (start of summer term) 14 May 2010 – All module pre-enrolment forms should be handed in by students 21 May 2010 – All module pre-enrolment data entry should be completed

Module Enrolment: The Future? Online Module Enrolment Much still to be decided, but online module enrolment should: Be user friendly for students (and staff!) Be more efficient for staff time Ensure better data quality Enable the UoN to keep up with our competitors Enhance the student experience Current April 2010 status: SMS team and Timetabling Office have been working on product specification, work currently on hold due to other demands on SMS team.
