Team Meetings Organizing for Effective & Outcome-oriented meetings

Meeting Activity Identify 4 meetings that you have recently attended. –Identify type of meeting –Rate the quality –Identify why you gave that quality rating

Objectives Understand the guiding principles for holding productive team meetings of any type Hold a team meeting and conduct a team-assessment

Basic Rule Design the structure and functions of team meetings to increase predictability of meeting format and expectations

Guiding Principles Make it easy for team members to participate & stay up-to-date Have a leader or coordinator Hold regular meetings as the decision cycle requires Record & distribute topics discussed and decisions or actions taken

Prerequisites Have an objective or goal to guide team activities –e.g., Committee Review worksheet Designated team leader or coordinator

Common Mistakes When the team leader is absent, the meeting structure is non-existent Too much or too little written documentation of the meeting Too many simultaneous conversations Tangents or off-topic conversations

So What Can We Do? Determine regular meeting time Establish roles –facilitator, recorder, reminder, administrator, minute-minder Communicate –distribution of meeting minutes –staff/parent meeting/newsletter updates

So What Can We Do? Create an action plan linked to school improvement goal Plan for the year Define meeting logistics, format, & roles Show respect –start & stop on time –if meeting gets cancelled, reschedule it –acknowledge contributions

So What Can We Do? Establish & use a standard agenda format –meeting process –recording –distribution of meeting minutes routine –determine basic agenda items and date for the next meeting before the end of the meeting
