Great Alaska Council’s 2016 Charter Renewal

Each unit (Pack, Troop, Team, Crew and or Ship) will select one person to do their unit’s charter renewal. You must be the big winner!!! Yea!!

Charter Renewal Packet Charter Renewal Access Code is printed on a label on the envelope. Printed Roster is provided to you to use as reference. There are forms to help with identifying needed leadership & filling out the adult application. There are also Journey to Excellence (JTE) and Youth Protection Training (YPT) packets enclosed. HINT: There is a lot of help and information on the Council’s Charter Renewal Webpage.

Youth Membership Get a list of the current youth. Compare the youth with youth listed on the printed roster. New youth will need an application. Give each family an opportunity to subscribe to Boys’ Life Magazine. $12 for a year. HINT: LDS Units can use a list from the church, signed by a bishopric member, rather than applications.

Adult Applications are required for Venturing and Sea Scout members ages 18 to 20 They are also required to complete Youth Protection Training. This standard is to ensure that all people legally considered to be adults are able to meet the adult membership requirements.

Adult Membership Get a list of the current adults. HINT: Fill out the adult position worksheet. Adults already on the charter with new positions do not need new applications, their position can be changed when you do the charter.

Adult Membership HINT: Troops who want to maintain membership for young men while at college should register them as Scouter Reserve (91U) rather than as Assistant Scoutmasters. HINT: LDS Wards can register members who serve in District and Council positions on their ward charters as a committee member or Scouter Reserve (91U), this will allow the church to pay their registration fees.

Adult Membership Adults not already on the charter will need to fill out an Adult Application. – Adult Application – Disclosure Form – Youth Protection Training Certificate – Adult Applications missing information hold up the process. Check the Adult Application FAQ Sheet.

Youth Protection Training Youth Protection Training expires every two years. If prior to January 1, 2014 will need to re-take the course. The printed roster will identify adults who need to take Youth Protection Training. Youth Protection Training is now taken at My. Scouting. org, you will need to print the certificate.

Look on the Printed Roster for YPT, N (no) means they NEED Youth Protection Training

Youth Protection Training HINT: Gather all of your adults and show the Youth Protection Training DVD in one setting. HINT: You can look for people’s training online at MyScouting.org under Training Validation. Print the page if you find something.

Before you start online Make sure you have a list of all the youth and adults. Make sure you have the applications for the new youth and adults. Make sure you have a snack, drink and a smile.

Are you doing multiple units? HINT: Start with the program for older Scouts first. This will allow you to ‘Promote’ youth up through the program and move their advancement records with them. Do Venturing first, Varsity second, Boy Scout third then Cubs last. WARNING: Please, don’t use the ‘Transfer’ button. It is for kids moving in from out of state who have already paid for 2016.

Getting down to business You will need a computer with internet access and a printer. You will need to use Microsoft Internet Explorer 9.0 or newer. Internet Charter Renewal does not like Mac.

Getting down to business During December and November on Saturdays from 4 pm to Sunday 4 pm the National System will be offline for maintenance. You will be able to work on charters during that time, but not start a new one.

Getting down to business Go to My.Scouting.org and click on Home then click on Legacy Web Tools to find Internet Charter Renewal. Go to ScoutingAlaska.org go to Charter Renewal to find our link to Internet Charter Renewal.

There is a tutorial available. No access code is required to do the tutorial.

Start as a first time user for each unit.

When you Load Roster choose ‘Load Council Information’

After the Roster is Submitted click Print Renewal Application

After you Submit Online Print the charter Have the Executive Officer and Unit Leader sign the printed version of the Charter. Have the Executive Officer and the Charter Representative sign the Annual Charter Agreement.

Gather the Paperwork Signed printed Charter Renewal Form Signed Annual Charter Agreement Signed Adult Applications with Youth Protection Training Verification for adults who needed YPT Signed Youth Applications HINT: The charter will list youth and adults who need applications and Youth Protection Training.

Gather the Money $40 Unit Insurance Fee $24 Per Adult for 2016 $24 Per Youth for 2016 $12 for 12 Issues of Boys’ Life The System will calculate fees for 2016 Remember you have to add fees for 2015 $2 per month, per person
