4 What is Content Management? Content Management is a broad term referring to applications and processes to manage Web-based content and document-based content Managing content includes the steps to conceptualize, create, review, approve publish, archive and destroy Web-based Content -- Template Import Document- based Content Content Management Lifecycle

6 Creating Content – Templates In CMS, templates are for Web-based content Templates allow the separation of content from presentation There are two types of templates: Data Capture Templates (DCT) – to enter content Presentation Templates – to present content By separating content from presentation, content can be created once and presented in multiple locations This is one of the keys to “single-source content, controlled and managed by business owners.” Data Capture Template Presentation Template

7 Creating Content – Templates In CMS, creating a template involves three initial steps: –New Data Record –Open Template –Select Specific Template to Open Step 1: In CMS, select File, New Data Record Step 2: select “IT Contents” folder to open Templates Step 3: select templates you want to open/create

8 Creating Content -- Identify appropriate content for templates Candidates for Templates – content that is: –Web content –Standard, unchanged format or layout –Frequently updated (e.g. quarterly, monthly, weekly, daily) –Requires the use of complex tools – e.g. under-utilizes an HTML editor like Macromedia’s Dreamweaver Selecting IT Services Templates IT Services Templates Example

9 Creating Content -- Import Content Note: files will be imported into the directory that you have opened; if you want to import to another directory (folder) you will need to navigate to that location. Besides templates -- another way to create content is to import an existing file (ppt, doc, xls, etc.) into CMS’s TeamSite To do this: –Step 1: navigate to the directory location where you want the file to reside, –Step 2: then click on File, Import File and select the directory location (folder) where you want to save your file Step 1: Import Document- based Content Step 2: Select directory location – in TeamSite folder structure

10 Creating Content -- Review Standards & Guidelines All Web-based content (created with templates) has a standard look and feel – refer to general style guidelines (reviewed on next slide) Templates are a means to create and maintain standards for portal presentation (vs. current lack of standards with HalWorld) Example of a standard presentation template – Basic Free Form HTML

11 Creating Content -- Review Standards & Guidelines General style guidelines -- all pages should have the following elements: –Page margins all set to 0 –Page should constrain all content to a maximum width of 800 pixels, using a table –Halliburton logo in top left-hand corner –1 pixel wide horizontal rule underneath –H1 element (HTML tag) as the standard page title –1 pixel wide horizontal rule, 2 line-breaks below the end of the content –Paragraph using “footer” class, containing a dynamic (on HTML render) copyright year, and the standard Halliburton disclaimer text Note: the paragraph tags within the final page should be set as: –Optional “Close Window” and “Print this Page” icons and links. Close Window should appear at the top and the bottom of the page. Print this Page is important for content displayed in gadgets, so should be set parallel to the page title, on the right margin of the page Note: A companion document will be available with the appropriate HTML code for stylesheet references, and header and footer section layouts. This file also contains “informative” comments to allow for easy parsing of the HTML pages for content display gadget-types. This document will be subject to change depending on design changes that occur to the portal.
