Log Into A Specific Site
Setting Up School Year Select: Grade Scales, Evaluation, School Year Tab
Setting up School Year Select: School Years Tab
Verify that School Year/Start Date is Entered Check to see if current school year and correct start date are entered. If not, click on the Add New tab.
Enter Current School Year & Start Date Enter current school year Enter start date for school year Click on Save and Close
Set up Grading Periods Select Grading Periods Tab
You will need to set up the dates for each Grading Period. Click on Add New to do this.
Adding Grading Periods Enter each grading period with correct start and end dates. For your first grading period, you will select APR Fall. For your fourth (or last) grading period, you will select APR Spring. Click on the save and close tab

“Site Specific” or District Grading Scales Determine whether the Grading Scale will be applicable at an individual site or district wide.
Custom or Numeric Grading Scale? For standards based grades such as: Limited Progress toward meeting the standard Ongoing Progress toward meeting the standard Consistently Meeting/Exceeding the standard Select Custom for all Standards Based Grades
Setting Up Custom Scales #1 - Enter name for each custom grading scale. #2 -Choose a specific site or “all sites” #5 - Click on Save and Refresh #3 – Select Custom #4 – For Custom grading scales, enter “1” for Half Grade Change.

Setting up custom grades Enter each description for each grade Enter grade value for each description. Highest score will have highest value. Lowest score will have lowest value. Click on Save and Refresh
Numeric Grading Scales #3 Select Numeric #1 Enter name for each numeric grading scale #2 Select specific site or “all sites” #5 Click on Save and Refresh #4 For Numeric grading scales, enter “5” for Half Grade Change

Setting Up Subjects For each custom and/or numeric grading scale, you will need to set up corresponding subjects. For example, Kindergarten through 2 nd Grade all have separate Standards Based grading scales. Therefore, each grade level has separate subjects. 3 rd through 12 th grade all use numeric grading scales. Therefore, these grades all use the same subjects. To Create a New Subject: Click on Add New tab
Setting up Subjects Enter name for each subject Select an Academic Area Select correct Grading Scale You will repeat this process for each subject in each grading scale. For example, you will have a separate set of subjects for each Custom and each Numeric Scale you set up. 21 st CCLC Grant Requirement: All participants must have Math and Reading Grades entered.

Guidance for Entering High School Block Scheduling Grades 1 st Semester - (August-December): Mid-term would be around October. 2 nd Semester - (January-May): Mid-term would be around March. For APR Reporting in AfterSchool 21: If a student is taking Math 1 st Semester then report card grades would be entered as: Fall- “First Grading Period” (Mid-term progress report/report card around October) Spring- “Last Grading Period” (End of semester progress report/report card in December) If a student is taking Math 2 nd Semester then report card grades would be entered as: Fall- “First Grading Period” (Mid-term progress report/report card around March) Spring- “Last Grading Period” (End of semester progress report/report card in May)

Entering Daytime Attendance Note: This function allows you to enter absences without having to retrieve Registration records one by one. Then Select: Edit Absences Tab

Reports – Log into Site Then Select: Reports Tab
Grade Reports – Academics Tab The Academic Comparison Report – Grades displays the participant's grades and the change in grades between two selected grading periods for the selected subject within the same school year. Select Academics Tab The Grade Report - displays the participant's grades for the selected grading period(s) for a specific subject and the number of days a participant attended the site.

Grades Report Select Reg. (30 days or more) or All Participants Select School Years for 1 st set of grades Select Subject for 1 st set of grades Select Grading Period for 1 st set of grades Select School Year for 2 nd set of grades Select Subjects for 2 nd set of grades Select Grading Period for 2 nd set of grades Select Format for Viewing (Web or Excel) Click on View Report You can use this report to compare subjects and grading periods from the same or previous school years.

Grade Reports – CLC APR Tab The APR Section I: Grades (Gradation) Report - displays the number of regular attendees who have math and/or reading/language grades for the fall and spring. Select Reports Tab Select CLC APR Tab 21 st CCLC Requirement: You will need to run this report prior to the certification of your data to verify that you have Math and Reading/LA grades entered for your participants.
