User Management: Understanding Roles and Permissions for Schoolnet Schoolnet II Training – September 2014

Roles for Schoolnet Access

Default Roles Leadership –Most operations already included in this role –Add, if needed: Test Item Administrator (if you need to view/review assessment items) Access to Curriculum Management (if you need to manage curriculum) Staff –This role provides access to Schoolnet but additional operations must be added –Add any of the additional operations as needed based on the responsibility of the individual staff member Teacher –Has all the roles and permissions needed to conduct classes and view student information for his/her own sections –Only add roles if you want a teacher to have access to information beyond his/her sections and students Access for Teachers to Share Assessments (this role is ONLY for teachers)

Two Key Points about Roles Teachers have what they need natively! Anyone whose default role in Schoolnet is a teacher has all the roles and permissions he/she needs to conduct class (use lesson planner, schedule, administer and score assessments, etc.). Only add permissions if you want a teacher to contribute outside of his/her classes. One Default All users in Schoolnet should have only one default role selected in PowerSchool.

NEW Roles Added Access to Approve Instructional Materials Access to Approve Assessment Items –These two roles above can be added for teachers or staff users that need the ability to approve instructional materials or assessment items within their institution level (and the ability to submit to the next level). Access to Report Manager

New Operation Added With the 16.1 release, a new operation has been added: View Restricted Content This new operation has been added to the roles Access to Assessment Management and Leadership This allows a user to both restrict access to assessment content and to view the content even when it is restricted from other users

Roles Matrix Columns – Names of Roles that you Select in PowerSchool Defaults Select One!

Roles Matrix Columns – Name of Permission that you Select in PowerSchool Optional Roles Test Item Administrator is a special case! Even if you are leadership at the district level, you still need this role to see items and to create and edit test items and tests for an institution.

Roles Matrix Columns – Name of Permission that you Select in PowerSchool Optional Roles Can be added to give additional rights to users. Most of the time this will be for staff or teachers who need some roles associated with leadership.

How to Access User Management in PowerSchool

Set Up Note: All roles in Schoolnet are set in PowerSchool Please work with your PowerSchool Data Manager to make sure you and your staff have the appropriate roles set up for Schoolnet

Select Staff Tab & Search for Staff Log into PowerSchool Click the “Staff” tab Search for a staff member

Select Security Settings & Manage Roles Once you have searched for a staff member: –Select security settings link on the left –Click the applications tab –Then click manage roles link

Edit Roles Click edit

Assigning Schoolnet Roles in PowerSchool From this page, you are able to assign roles

Cautions, Over-Permissioning, Under-Permissioning

Caution Additional roles allow access to data and rights to view and edit information or materials that may not be appropriate depending on the actual responsibilities of the user. Please be careful when assigning additional roles to users.

Access To Teacher and Section Level Data If the user is a District Level User, they would have access to ALL student and teacher data across the district If the user is a School Level User, they would have access to ALL student and teacher data at their school

Too Many Permissions?

Over-Permissioning Teachers and leadership generally do not need any additional roles Staff only need roles specific to their jobs Examples: –All users with Access to Curriculum Manager could create and schedule curriculum at their institution level –All users with Access to Report Manager could create and publish reports at their institution level –All users with Access to Approve Instructional Materials and Access to Approve Assessment Items could vet and approve resources and share at their institution level as well as submit resources to the level above them You want to be sure you intend for these users to have those capabilities

Not Enough Permissions Users without the right level of permissions will not be able to access operations they need Example: Test Item Administrator –Operations include: Create and edit test items for an institution Review item, passage, or rubric Note: This role should NOT be assigned to teachers

Example My role is district level leadership and I want to look at assessment items available in my schools and district. Current Role Assignment:

Scenarios

Scenarios: How do I know which Optional Roles to add? Need for users to have optional roles will vary depending on the types of staff you have in your school or district. –Do you have district level staff to manage curriculum? Or is this something school staff or teachers are involved in? –Do you have district level staff who create benchmark assessments? Or do teachers help with benchmark assessments?

Scenarios The following slides reference scenarios that might apply to your school or district depending on the staff that you have available to complete certain tasks. These are suggestions and may not apply to all districts or schools. Please contact the Home Base Support Center if you have a special scenario that is not addressed here.

New Process – Teachers Creating District Benchmarks 1.Log in to Home Base a.Find the Staff member via search Staff b.Select Security Settings link c.Select the Applications tab d.Click on the Manage Roles link for Schoolnet Security

New Process – Teachers Creating District Benchmarks 2. At the District Office Level, click to Add Roles (under actions).

New Process – Teachers Creating District Benchmarks 3. Check the box for Staff (under System Roles) and then check the boxes for Test Item Administrator and Access to Assessment Management (under Additional Roles).

New Process – Teachers Creating District Benchmarks 4. Click OK, and you should see that the Staff role as well as Test Item Administrator and Access to Assessment Management have been added for the teacher at the District Office and all schools within the district. The default institution will still be the teacher’s home school (not the District Office).

New Process – Teachers Creating District Benchmarks 5. The teacher can log in, with his or her regular teacher level access, but now will be able to access the benchmark assessment items and select the district benchmark category when creating a test.

New Process – Teachers Creating District Benchmarks 6. Once the teacher has completed work on benchmark assessments, this access should be removed.

You will now see that the teacher access is returned to just the roles needed at the individual school level (there are no longer roles listed for the district office or for any other schools). Be sure to click Submit before navigating away from this screen to save your changes.
