4 © Mahindra Satyam 2009 Mahindra Satyam Confidential Ensure Availability of Inputs PM ensures the availability of the following inputs:  Copy of Contract or Purchase Order or Work Order  Contract review report  Document containing initial Risks identified for the project

5 © Mahindra Satyam 2009 Mahindra Satyam Confidential Identify Collaboration Requirements  The Customer facing unit FLCL needs to identify the collaboration requirements, if any based on the scope of the project.  Create a draft project charter at this stage. This will form the basis for project planning

6 © Mahindra Satyam 2009 Mahindra Satyam Confidential Create Project in OPTIMA  The identified FLCL shall create the project in OPTIMA and release it for approvals.  Ensure the required approvals from FIC/QR/AIC/Corporate based on the type of project  After all the approvals are obtained, the system shall generate a 8-digit SPR ID

7 © Mahindra Satyam 2009 Mahindra Satyam Confidential Identify Criticality of the Project for BCP PM, along with BCL and AIC identifies the criticality of the project Any project, which falls under any of the following categories and has the potential to adversely impact the customer’s business in case of disaster is considered as a critical project  Maintenance support of mission critical applications  24x7 helpdesk  Production support  Projects of strategic importance to Mahindra Satyam / Customer BCP shall be prepared for a critical project at the project planning stage.

8 © Mahindra Satyam 2009 Mahindra Satyam Confidential Acquire PL for the Project PM identifies PL in coordination with Unit RCC Selection criteria is one or more of:  Skill required in the project area  Experience in handling similar projects  Availability constraints RCC Coordinator sends a mail to the PL regarding his /her allocation to the project

9 © Mahindra Satyam 2009 Mahindra Satyam Confidential Fill in Project Initiation Checklist  The PL fills in the Project Initiation Checklist.  This forms the basis for tracking Project Initiation Activities

10 © Mahindra Satyam 2009 Mahindra Satyam Confidential Plan for Resources / Services from SUs PL  plans for the resources / services required from the Support Units (SUs) for the project  intimates these to the RCC coordinator and representatives of SUs  negotiates these during project kick-off meeting

12 © Mahindra Satyam 2009 Mahindra Satyam Confidential Plan for Resources / Services from SUs The SU resources and services could include  Hardware / software / tools / network connectivity etc., from N&S  Resources with specific skills from HR  QA services like audits / reviews / assessments / quality related training, process automation tools [include project management tools ] etc., from Quality Circle  Work stations / telephone / voice links / facility access permissions / stationary etc., from Corporate Services  Help in contract reviews / legal issues etc., from Legal circle

13 © Mahindra Satyam 2009 Mahindra Satyam Confidential Conduct Project Kick-off Meeting  PM holds a Project Kick-Off meeting within a week from the date of issue of Project ID  PM along with PL identifies the SUs to participate in the project kick off meeting  Sales Representative may be asked to attend so as to share their experiences and obtain useful information regarding the customer

14 © Mahindra Satyam 2009 Mahindra Satyam Confidential Identify Infrastructure Required from Customer  PM identifies the infrastructure required from the customer to initiate and/or execute the project. Infrastructure may include: – Hardware, Software, Network connectivity, Office space, etc  PM documents them in the Customer Infrastructure Requirement sheet in the Project Workbook  PM communicates the Infrastructure Requirements to the customer and track them until acquired

15 © Mahindra Satyam 2009 Mahindra Satyam Confidential  PM needs to identify the work permit / Visa / Travel requirement.  The requirements related to the above needs to be documented in the “travel requirements” sheet of the project work book. Identify Work permit / Visa /Travel requirement
