archiving By Alice Shelley

archiving archiving is a process for downloading, keeping and protecting all inbound and outbound messages including attachments like pictures, sounds and videos so you can access them when you want too. It removes messages from your inbox but it keeps them in your account so you can access them when you need too and its just like moving messages into a cabinet so they are kept safe.

Archiving If you want to create a backup for your s all you do is send it to archive and all it does is take the s off of line and puts them in a safe location. Clean up your inbox by getting messages out of your way. Archived messages stay in your account in case you need to find a phone number in someone’s signature or you become famous and write a memoir. When you delete a message (instead of archiving), it will be automatically and permanently deleted after about 30 days.

Benefits It always cleans up your so it isn’t full of messages all the time. You can recover lost or even accidentally deleted s all the time. accelerated audit response If you delete your messages they don’t come back but if you archive them they do so it is really handy especially if you want to get an important or anything.

File Sizes If your that you would like to send is too big here are a few ideas that could help you change that: You could copy and paste it instead of attaching everything into one file. Make the file smaller by using soft work like WinZip Send files as PDF files instead of word documents.

Archiving s Archiving in Microsoft outlook 2010 To archive , you will be moving the into an archive.pst file. When you archive your into another.pst file, all the you choose to archive is moved into the archive file and is no longer available in the main.pst file. To begin archiving your , click the “File” tab on the ribbon. On the Account Information screen, click the “Clean-up Tool” button next to “Mailbox Clean-up.” Select “Archive…” from the drop-down menu. The Archive dialog box displays. Select “Archive this folder and all subfolders” and select a folder to archive. If you want to archive all your , select the node with your address at the top. Click the “Archive items older than” drop-down list to select the latest date for items to be archived. A calendar pops up. Select a date in the current month by clicking on the date or scroll to a different month to select a date. All items older than the selected date will be archived.

How to Manage Auto-Archive in Outlook 2010 If you want to keep Outlook 2010 clean and run faster, one method is to set up the Auto-Archive feature. Today we show you how to configure and manage the feature in Outlook If you want to archive items that are not set to archive automatically using Auto-Archive, select the “Include items with “Auto-Archive” checked” check box. NOTE: Auto-Archive in Outlook 2013 works the same way as in Outlook Click the “Browse” button if you want to change the location where the archive file will be saved and the name of the archive file. Click OK when you have made your selections. The archived.pst file is saved to the chosen location. Notice that all the messages you chose to archive are not available anymore in the main.pst file. The archived.pst file should become available automatically in Outlook. However, if it doesn’t, click the “File” tab. In the blue panel on the left side of the “Account Information” screen, click on “Open & Export.” On the “Open” screen, click “Open Outlook Data File.” The “Open Outlook Data File” dialog box opens. Navigate to the location where you saved the archived.pst file, select it, and click OK. In the left pane of the main Outlook Mail window, a section called “Archives” displays and the s you archived are available. Archiving can help you keep your s organized, making it easier to find older s and to keep your inbox and folders uncluttered.
