e-WiSACWIS & iC Interface e-W sends records to interChange nightly, M-F. iC processes the file the following business day and updates member records that evening. If there are errors, EDS/HP staff resolve the errors and update the records. This may take up to 2 additional days. Very few errors from e-W. Avg. 1-2 day.
Manual Certification Eligibility should always be processed through e-WiSACWIS, if possible. Manual cert. is good for urgent eligibility cases. Information submitted using a manual cert. updates immediately. Current certification issues: – Cannot cancel eligibility, unless DOD. – All previous eligibility is submitted along with the new changes. Causes multiple error messages. – Unable to remove C/O names from child’s file.
Multiple Case Members When completing a manual certification and multiple case members appear along with the child in the Eligible Case Members panel; do NOT continue with the manual cert. If you submit the certification, all members listed will update with child’s address information. Complete a paper 3070 and fax to EDS. This issue is being worked on and will be fixed soon. Member IDs Member IDs are assigned from the Master Client Index as a permanent ID. e-WiSACWIS assigns MCI IDs and sends to iC, whenever possible. An MCI ID cannot be assigned unless the child has an SSN. Until then, a pseudo ID is assigned. Pseudos start with 90xxxx. When an “Add New Case” manual certification type is submitted, a pseudo ID is assigned to the child. An MCI ID is assigned that evening, if possible. The ID card will go out after the MCI ID is assigned. If the MCI ID cannot be assigned, the card goes out with the pseudo ID. There are times when 2 IDs are linked and the pseudo ID is kept as active and the MCI ID is made inactive. Report those to EDS/HP so they can reverse the link to make the MCI ID active.
MCI ID Indicator on Manual Certification If child has a permanent (MCI) ID, you will see the MCI box checked on the Eligible Case Members screen in the manual certification. If no checkmark, it is a pseudo ID.
ID Cards Cards are automatically generated when: – Child has no active ID card. – Previous card was returned undeliverable. If address changes, it generates a card to the new address. Request cards for: – Name changes – ID changes – Replacements – Need duplicate card for separate households. (Contact Member Services)
ID Cards Replacement Requests If ID card replacement request is not successful through e- WiSACWIS, or the Portal; the child may have 2 active cards. Must contact member services to request a replacement card. e-WiSACWIS will only show cards requested through that system. Can check ID card status through the portal. Will give full ID issuance history, including addresses cards were sent to. Future enhancement to show name that appeared on the card.

Other Known Issues If the child has SSI benefits, updates from SSA are changing names, SSNs &/or addresses back to previous. SSA should be notified of changes. If the child was previously in another case, an update to that case by another certifying agency may cause the child’s information to be changed. Working on protecting demographic information for FC and SA children.
