CLAS Annual Plan Student branches are required to submit an annual plan by 1 Nov. of each year. The plan contains at least two parts –plan of activities –annual budget Forms are available for the plan of activities in MS Word, HTML and ASCII format: – An example of the UCLA plan of activities and annual budget is also at the URL mentioned above.

CLAS Annual Plan: Plan Of Activities Approved by your IEEE branch counselor Must be signed and sent the IEEE headquarters. Must be sent to the CLAS Student Activities Chair and the Regional Student Activities Chair –Doesn’t have to be signed and can be ed

CLAS Annual Plan: Annual Budget The Annual Budget –should be reviewed by your IEEE branch counselor –can be ed to the CLAS Student Activities Chair with the plan of activities. –will be used to determine approval of funds from the section.

Section Student Branch Financial Process The Goals Of This Process –balancing checkbooks with bank/credit union statements –tracking grant money from CLAS, et. al. –tracking float disbursements and reimbursements the float eliminates much of the problem of personal checks or credit cards. –tracking expenses and deposits –reporting inventory with depreciation –reporting total assets of the student branch

CLAS Excel Spreadsheet Forms Contains all statements Easy to use (hopefully) Excel’s functions provide powerful support for accounting and inventory tracking Future automation of statements using Visual Basic.

CLAS The Process And The Annual Plan The branch annual plan will be presented to the CLAS ExComm The ExComm may suggest modifications, clarifications, etc. to the budget. The ExComm will approve the budget (as modified if necessary). Once the budget is approved, all CLAS approved expenses will be reimbursed using the float –checks for payments can be written from the student branch bank account and the float reimbursed via mail, etc.
